Job Description
Be a part of a world‑class academic healthcare system, UChicago Medicine, as a Patient Procedure Scheduler at our DCAM - Hyde Park clinic. This position is 100% onsite and requires you to be based in the greater Chicagoland area. The Patient Procedure Scheduler works alongside the Ambulatory Float Pool team to deliver high‑quality patient care across a variety of specialties including Cardiology, Neurology, Oncology, Primary Care, Geriatrics, Pediatrics, and more.
EssentialJob Functions
- Work collaboratively with physicians and staff to schedule surgeries and coordinate pre‑ and post‑surgical appointments.
- Schedule procedures and surgeries in accordance with preapproved guidelines and protocols.
- Enter procedure information and update physicians on schedules per protocol.
- Coordinate schedules with time and equipment availability; identify conflicts and adjust schedules as needed.
- Communicate with patients and inform them of schedule changes.
- Order and coordinate delivery of special supplies and equipment, and enter vendor information into the Vendormate system.
- Schedule anesthesia for surgery as required and per protocol.
- Set expectations and provide instructions to patients regarding their upcoming procedure and confirm understanding.
- Provide pre‑appointment instructions, directions, and messages per protocol.
- Provide reminder calls for all surgeries prior to the surgery date.
- Respond to patient inquiries and concerns in a timely manner.
- Document all messages electronically using the In‑Basket functionality and forward to the appropriate clinical provider.
- Provide service recovery for unhappy patients and elevate concerns per protocol.
- Thank callers and ask if any further assistance is needed.
- Experience with Epic‑OP Time (Epic operating room scheduling module).
- Knowledge of medical terminology.
- Excellent interpersonal skills and the ability to establish and maintain effective relationships with patients, physicians, management, staff, and other customers.
- Exceptional customer‑service skills, independent thinking, sound judgment, and creativity in resolving customer issues.
- Professional communication with patients, visitors, physicians, and co‑workers.
- High School Diploma.
- Ability to balance multiple priorities and handle challenging situations.
- Excellent verbal communication skills.
- Proficiency with personal computers and software applications.
- Successful completion of Cadence Scheduling system training and competencies.
- Associate or Bachelor’s degree.
- Experience with Vendor Mate.

The pay range provided reflects the anticipated wage or salary reasonably expected to be offered for the position. The range is based on a full‑time equivalent (1.0 FTE) and is reviewed annually. Compensation offered at the time of hire will vary on candidate qualifications, experience, and organizational considerations such as internal equity.
