The Coordinator of Related Services provides leadership, oversight, and coordination and integration of district wide related-services and student support services. In this role, the Coordinator plays a central part in recruiting, onboarding, developing and retaining a high-quality, committed team of related-service providers and student support staff. The Coordinator ensures that staff assignments, workloads, and schedules are managed equitably and sustainably, uses data to inform staffing models and resource allocation, and fosters a professional culture that values collaboration and ongoing professional development.
By supporting effective instruction, mentorship, professional learning, meaningful collaboration, and a sense of belonging across multiple provider groups, the Coordinator helps build and sustain a stable workforce, critical for consistent, high-quality, and compliant service delivery to students.
- Oversee the Speech and Language department and additional related services and student support services.
- Ensure compliance with federal and state special education laws and regulations, and district special education policies and procedures related to related services.
- Lead recruitment efforts for related-services staff, including conducting interviews, hiring, and onboarding of new staff (therapists, support personnel, or contractors) to develop a high-quality, committed workforce.
- Collaborate with Universities to partner with graduate school students and practicum students
- Establish and manage equitable, sustainable staffing models, assign staff to buildings (in alignment with the ETA agreement and in partnership with human resources).
- Distribute caseloads/workloads equitably, and ensure that assignments balance district needs with provider workload.
- Assist with provider schedules as needed.
- Collaborate on budget and resource allocation with the Specialized Student Services Department.
- Ensure effective implementation of district approved resources.
- Plan, coordinate, and lead professional learning opportunities, training, and ongoing professional development for staff to strengthen skills, sustain high-quality service delivery, support retention, and encourage collaboration across provider groups.
- Provide mentorship, coaching and support to staff, facilitating collaboration, problem-solving, service consistency and shared professional practices district-wide.
- Manage staffing shortages with related service and student support groups including providing guidance when there is a staffing shortage, finding coverage, and coordinating compensatory services for students impacted by the shortage.
- Track and ensure timely and accurate service log and Medicaid billing entries.
- Monitor fidelity of inclusive service delivery and support continuous improvement by related service providers.
- Use data to analyze trends, monitor service delivery, project staffing and resources to support long-term planning and adjustments.
- Serve as primary liaison between related-services staff provider groups, building-level administrators, district office leadership, general education staff, families (as appropriate), and external providers/contractors to coordinate service delivery and maintain communication flow.
- Facilitate regular department meetings, School Department committee, Special Services Improvement Committee, cross-team coordination meetings and planning sessions with related services and student support service teams.
- Work collaboratively with building administrators to assess building-level related-service needs, coordinate scheduling and staffing assignments, and integrate push-in related-services delivery into building routines and master schedules.
