Function / Position Summary
The Specialized Student Services Department Support Specialist provides high-level operational, fiscal, and compliance, and project management support to the Department of Specialized Student Services. This position is responsible for organizing department-wide processes related to private placements, contract services, fiscal monitoring, regulatory requirements, reporting, and special projects. The Department Support Specialist serves as a key resource to department leadership by maintaining systems, monitoring critical timelines, managing complex documentation, and supporting departmental operations.
This position requires exceptional written communication skills, advanced technology proficiency, strong organizational abilities, attention to detail, and the ability to independently manage multiple projects and competing priorities.
Job Duties / Responsibilities
- Lead and manage department-wide activities related to federal, state, and local special education requirements, including settlement agreements, corrective action plans, and state reporting requirements.
- Prepare professional reports including Board of Education materials, memoranda and proposals.
- Draft professional correspondence, presentations, guidance documents, and other written communications for internal and external stakeholders.
- Collaboratively manage private placement billing, tuition reconciliation and associated records.
- Monitor and maintain private placement attendance records and communicate attendance concerns to department leadership as appropriate.
- Maintain accurate records related to private placement tuition, invoices, and attendance and related documentation.
- Support the development, monitoring, and management of SSS department budgets, grant and fiscal records.
- Develop and maintain systems for tracking expenditures, contracts, timelines, attendance, and department initiatives.
- Utilize district technology platforms, databases, spreadsheets, student information systems, and special education management systems to organize, monitor, and report information.
- Manage department projects and initiatives by developing implementation timelines, monitoring progress, tracking deliverables, and communicating project status to department leadership.
- Support department leadership with special projects, and process improvement efforts.
- Maintain confidentiality of student, personnel, financial and district information.
- Perform other duties as assigned.
- Associate's degree with significant related experience required.
- Bachelor's degree preferred.
- Degree in Education, Special Education, Business Administration,or a related field preferred.
- Equivalent combination of education and relevant experience may be considered.
- Minimum of three years of progressively responsible professional experience in a role requiring organization, problem-solving, attention to detail, and the ability to manage multiple priorities.
- Exceptional written communication skills with demonstrated ability to prepare professional reports, correspondence, Board of Education proposals, presentations, and technical documents.
- Advanced proficiency with Microsoft Office Suite, Google Workspace, spreadsheets, and databases.
- Demonstrated ability to analyze, organize, and present complex information accurately and effectively.
- Strong organizational, project management, and problem-solving skills.
- Ability to manage multiple priorities, deadlines, and projects simultaneously while maintaining attention to detail.
- Knowledge of education and/or special education preferred.
- Ability to exercise sound judgment, maintain confidentiality, and work independently.
- Demonstrated ability to learn and utilize new technology systems and software applications.
- Lifting may be required as needed
- Ability to work in a fast paced environment
- Ability to work with many interruptions and schedule changes throughout the school day.
- This is a 12-month position. Salary and benefits are established by the Board of Education.
- The full salary range for this position is $60,243.00 - $90,353.00. It is our typical practice to hire the minimum and midpoint ($75,298.00)
