** Purpose of Role
** Provide exceptional customer service and high-quality administrative support to the Grosvenor Landscape Management (GLM) team, who oversee our gardens across Mayfair and Belgravia. This role’s primary focus is to ensure garden members, residents and visitors receive an outstanding experience at every interaction
-whether in person, by phone or via email.

You will be a confident, welcoming and proactive point of contact, someone who genuinely enjoys liaising with customers and takes pride in delivering warm, responsive and solutions‑focused service. Alongside this, you will help improve operational efficiency by supporting the team with clear communication, well‑organised processes and timely assistance.
** Key Responsibilities
**** Customer & Member Interaction
*** Act as a friendly, confident first point of contact for tenants, residents and garden members, in person, by phone and through written communication
* Provide exceptional customer service, ensuring every interaction feels positive, professional and supportive.
* Build strong relationships with garden members, proactively helping them with questions, concerns and day‑to‑day needs.
* Coordinate and manage garden membership enquiries, applications and renewals, ensuring a smooth and enjoyable user experience.
* Ensure customers receive timely responses and clear, helpful information at all times.
** Office & Operational Administration
*** Manage GLM purchase orders, credit card administration and support supplier account queries.
* Provide efficient administrative support to the gardening team, including data filing, issuing correspondence and helping coordinate tasks related to garden operations and the exciting new Grosvenor Square Garden.
* Assist in organising training sessions and maintaining team schedules
* Support access arrangements for contractors, deliveries and garden events, ensuring notices are displayed at least one week prior to works. Communicating clearly with customers and ensuring notices are displayed in advance.
** Community Engagement
*** Help coordinate small‑scale events and community initiatives, ensuring garden members and visitors experience welcoming, well‑run activities.
* Support Forest School scheduling and assist with liaison between teaching staff and garden users where needed.
** Health, Safety & Environment
*** Support GLM in fulfilling all health, safety and environmental responsibilities, ensuring the welfare of staff, residents, visitors and contractors.
** Key Requirements
*** Experience in a similar administrative or customer-facing role.
* Confident, warm communicator, comfortable meeting customers in person, speaking on the phone, and acting as a positive representative of GLM.
* Excellent organisational skills and experience using purchase order systems.
* Strong IT skills, including MS Office Suite; experience with Yardi Voyager or similar systems is beneficial.
* A proactive, flexible and positive “can do” attitude, with the ability to prioritise tasks that deliver the greatest value.
* Ability to work independently, take initiative and support colleagues in a calm, solutions focused manner. ‑focused manner.
* Strong attention to detail, with the ability to draft professional communications and present documents to the required Grosvenor standard.
