Office Administrator/ Coordinator
The Axel Group is seeking an Administrative Assistant to join our client’s team in Middlesex County, New Jersey. The Administrative Assistant provides administrative and project support to the Development and Construction teams by coordinating meetings, managing project documentation, assisting with bids and reporting, collecting invoices, and supporting monthly billing processes. This role also assists with daily office operations, including front desk coverage, communication with internal and external partners, and various administrative tasks to help ensure projects and office functions run efficiently.
Responsibilities- Provide administrative support to the Development and Construction teams, including coordinating meetings, preparing reports, managing project documentation, and maintaining organized project files.
- Assist with front desk coverage, answering phones, greeting visitors, and supporting general office operations as needed.
- Support pre‑construction activities by maintaining subcontractor information, assisting with bid collection, and preparing project‑related documentation.
- Coordinate construction administration tasks, including subcontract processing, insurance tracking, project management software updates, and invoice management.
- Assist with billing processes by reviewing and organizing vendor invoices, preparing billing packages, tracking payment applications, and maintaining accurate project records.
- Collaborate with project managers and leadership to improve processes, maintain efficient workflows, and support successful project execution.
- Bachelor’s degree preferred; 3–5 years of related administrative, construction, or project support experience required.
- Strong written and verbal communication skills, with the ability to prepare professional correspondence, reports, and documentation.
- Excellent organizational skills with the ability to prioritize multiple tasks, problem solve, and work independently.
- Proficiency with Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint.
- Experience with Canva and Procore is a plus.
- Ability to work in an office environment with occasional exposure to construction job sites, including varying weather conditions, noise, and active equipment.
- Valid New Jersey driver’s license with a reliable, insured, and properly maintained vehicle required.
