Project Coordinator

The Project Coordinator will join Scentbird's Operations Department and report directly to the Associate Director of NPD. This role will support NPD projects throughout the development cycle across all brands, helping coordinate physical product samples for launches and tracking timelines for creative campaign shoots and marketing deliverables. This role will work closely with project managers, creative, and marketing team members to help keep tasks and milestones on track.

This role requires strong attention to detail and follow-up skills to maintain accurate and up-to-date internal timelines, along with the ability to coordinate and organize critical information pertaining to a new product for a successful launch.

Onsite: 5 days a week at our facility in Somerset, NJ

• Track, request, and coordinate physical product samples across the launch cycle, from early development rounds through final production samples, ensuring the right stakeholders receive samples on schedule.
• Maintain a sample inventory/log and flag missing, delayed, or damaged samples that could put a launch timeline at risk.
• Build and manage timelines for creative campaign shoots (photo/video), coordinating with creative, marketing, and product development on shoot dates, deliverable due dates, and asset handoffs.
• Track marketing deliverables tied to campaign launches (creative assets, copy, digital/social assets) against the master launch timeline, flagging bottlenecks between creative production and go-to-market dates.
• Serve as a connective point between NPD, creative, and marketing so sample availability and creative shoot needs are aligned with the overall launch schedule.
• Support the project team by coordinating meetings, tracking project progress and providing status updates.
• Ensure project documentation is accurate, up-to-date and readily available to all relevant stakeholders.
• Attend cross-functional meetings as needed to update on status and raise any issues/concerns

• Clear and effective communicator who can keep cross-functional teams aligned and informed

• 1-3 + years of experience in project management, product development, packaging, or supply chain within beauty or CPG
• Proven ability to lead cross-functional projects and deliver results in a deadline-driven environment
• Strong organizational and project management skills with a high level of attention to detail
• Proficiency in Microsoft Excel / Google Sheets and project management tools (e.g., Smartsheet, JIRA, or similar)
• Excellent communication, stakeholder management, and problem-solving skills
