Position Overview:
The Contract Administrator will support the Estimating and Construction Teams in preparing and managing administrative functions for projects from estimate to close-out.
- Produce, collect, organize, manage, and distribute project documentation, including proposals, plans, quotes, reports, contracts, and sub-contracts.
- Prepare and organize pre-bid documentation: proposals, plans, and formal bid documents.
- Prepare estimate and bid documentation, including owner bid documents and supporting reports; update bid program data for submittal.
- Update pipeline and distribute bid-tracking results to appropriate personnel in a timely manner post-bid.
- Support project setup with sub-contracts and KYTC forms; prepare, distribute, and collect required documents (Certificates of Insurance, performance and payment bonds, DBE paperwork) from subcontractors; review for compliance.
- Assist estimators with project setup documentation and distribution during hand-off to accounting and construction personnel; export reports from Viewpoint as needed for scheduling.
- Assist construction managers with running and distributing ViewPoint, Tableau, or Scorecard cost and production reports; collect and prepare weekly and period-end safety, production, and performance results for LOBs.
- Support other administrative personnel with construction activity as needed.
- Fulfill information requests from auditors (internal and external).
- Display a professional and courteous attitude to co-workers, supervisors, and the public.
- Must be willing to travel and work away from home when required.
- Must be willing to work nights and weekends when necessary.
- Report to the assigned job site ready to begin work at the designated start time.
- Strict adherence to safety requirements and procedures as outlined in the Manual of Safety Practices and Procedures.
- Strict adherence to company policies and procedures as outlined in the Company Book of Policies.
- Willingness to work in a team environment and assist co-workers or supervisors with other duties as required.
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.
Education and Experience
2-5 years of related experience and/or training in a business or office environment.
Two-year Business/Accounting Degree Required In Lieu Of Experience. The ability to use computers with proficiency in Microsoft Word, Excel, and PowerPoint.
Construction accounting and purchase order software experience is a plus.
CompensationPay range is $18-20, depending on experience.
Language SkillsThe ability to read and understand various documents such as accounting guidelines, policy and procedure manuals, and safety rules. Strong written and verbal communication skills are a must. The ability to hold and conduct meetings.
Reasoning AbilityExcellent troubleshooting skills and the ability to communicate problems clearly and concisely by collecting data, establishing facts, and drawing valid conclusions.
Physical RequirementsThe physical demands described here are representative of those that must be met to successfully perform the essential functions of this job. The employee regularly sits for long periods, uses a computer and phone, and talks or hears. The employee must occasionally lift and/or move more than 25 pounds.
