Office Manager / Operations Coordinator
Blades of Grass Landscaping
Full-Time | Year-Round | $24–$28/hour based on experience
Blades of Grass Landscaping is looking for an Office Manager / Operations Coordinator to help keep a busy landscaping company organized, responsive, and moving in the right direction.
Our office is the communication hub between customers, field crews, production management, sales, vendors, and ownership.
Some days are smooth. Some days are controlled chaos.
Weather changes, crews call in, customers need updates, jobs move, equipment breaks, schedules shift, and questions come from every direction. We need someone who can stay calm, organized, professional, and focused when the day does not go exactly as planned.
If you need every day to be predictable, this probably is not the right role.
If you are organized, steady under pressure, good with people, and able to turn chaos into a clear plan, you may be exactly who we are looking for.
What You’ll DoThis role helps run the office side of the business and keeps information flowing clearly between customers, crews, managers, vendors, and ownership.
Responsibilities include:
- Maintaining and updating the master schedule
- Setting up jobs and services in our CRM/scheduling system
- Communicating with customers about scheduling, service updates, delays, and follow-ups
- Keeping customer records, job notes, and internal documentation accurate
- Supporting final invoicing and billing accuracy
- Tracking open customer concerns, callbacks, and follow-up items
- Coordinating with production management on schedule changes, weather delays, and job status updates
- Assisting with accounts receivable, receipts, vendor communication, and office records
- Helping keep daily office priorities organized so important details do not fall through the cracks
- Highly organized and detail-oriented
- Calm and professional under pressure
- Comfortable in a fast-paced and sometimes chaotic environment
- A strong communicator by phone, email, and in person
- Able to prioritize when several things need attention at once
- Comfortable learning software and keeping records accurate
- Dependable, honest, and willing to take ownership
- Able to communicate professionally even when customers or situations are stressful
Experience in office management, scheduling, dispatching, customer service, landscaping, construction, trades, home services, CRM systems, billing, or invoicing is helpful.
Green industry experience is a plus, but not required. Strong organization, communication, follow-through, and the ability to stay calm under pressure are more important.
Compensation & BenefitsThis is a full-time, hourly position.
Pay range: $24–$28 per hour, based on experience.
Benefits include:
- Medical, dental, and vision insurance
- Retirement plan with employer match
- Paid time off, including vacation, personal days, and accrued sick time
