Program Secretary/Unit Clerk (Full-time) Behavioral Health – Elk City, OK.
Organization: Horizon Health Corporation seeks a Program Secretary/Unit Clerk to support the Behavioral Health Program. The role provides daily administrative support and HR related duties such as applicant tracking and onboarding.
Responsibilities- Answers phone and responds to information requests.
- Schedules unit assessments, meetings, and appointments.
- Greets visitors, patients, and families at the unit.
- Manages all CQI+ paperwork, submission, data entry, communication, and audits.
- Creates new hire/rehire personnel files, files employee documents, and ensures NSC HR has copies for corporate personnel files.
- Maintains and distributes new hire packet documents.
- Records intake calls and reports information to the Clinical Access Coordinator.
- Keeps current license information on file for licensed employees.
- Inputs daily census into Horizon Plus, enters required data, generates monthly reports, tracks referral, admission and discharge data, and supports program key statistical reports as requested.
- Initiates pre-certification calls for private insurance and managed Medicare/Medicaid plans; provides concurrent reviews, tracks utilization review outcomes, manages insurance appeal process, and works with the Denial Management Coordinator.
- Reviews new patient accounts for eligibility and authorization daily and corrects issues.
- Assists in submitting reports and documents to regulatory agencies (PA Dept. of Health, CAP, Joint Commission).
- Maintains schedule for filing court paperwork and hearings and coordinates with court personnel.
- Verifies accuracy of invoices and expense reports before forwarding.
- Classifies, sorts, and files correspondence, records, and documents.
- Orders office supplies.
