Mac’s Plumbing, Heating & Air is a fast-growing home services company serving Elk Grove and surrounding areas. We specialize in high-quality HVAC and plumbing installations supported by an organized, customer-first office team.

We are looking for a reliable and detail-oriented Install Coordinator to manage installation scheduling, permits, inspections, and customer communication — while also assisting with overflow inbound calls when the main CSR team is tied up.

• Install Scheduling & Project Coordination
  • Schedule HVAC and plumbing installations efficiently
  • Coordinate crews, equipment, and timelines
  • Confirm jobs with customers and set clear expectations
  • Prevent delays by managing job flow proactively
• Permits, Inspections & Rebates
  • Pull HVAC and plumbing permits
  • Schedule city inspections and HERS testing
  • Track jobs through final permit approval
  • Process utility and manufacturer rebates (SMUD, TECH Clean California, etc.)
  • Maintain organized digital documentation
• Customer Communication
  • Keep homeowners informed before, during, and after installs
  • Handle reschedules and inspection updates professionally
  • Follow up to ensure smooth project completion
• Overflow Call Support
  • Answer inbound customer calls when CSRs are busy
  • Route calls appropriately or assist with scheduling and questions
  • Provide a friendly, professional first impression during high call volume
• System & Office Support
  • Maintain install jobs in Service Titan (tasks, notes, attachments, statuses)
  • Track install readiness and close-out items
  • Collaborate with sales, installers, and office management

• Strong organizational and multitasking skills
• Excellent phone and communication skills
• Experience in HVAC, plumbing, construction coordination, or call center preferred
• Comfortable using scheduling software (Service Titan a plus)
• Detail-oriented with strong follow-through
• Calm under pressure and able to handle busy days
