Position: Community Education Administrative Assistant | Year-round | 30 hrs/week
Job Description
The Administrative Assistant performs secretarial duties such as answering telephones, greeting customers, data entry, filing and other duties that ensure proper functioning of the school or department office.
Job Summary Performs general office duties such as typing, sorting, filing, mail and package processing, maintaining records, duplicating materials, selling various tickets and collecting fees, scheduling and processing various forms and reports.Performs receptionist duties such as answering telephones and providing directions to answer questions and inquiries.Maintains accounting records for departmental capital outlay and maintenance budgets, prepares necessary forms for processing to keep information up-to-date.Coordinates overall supply and equipment inventory, maintains inventory schedule, generates bids, purchases materials, processes accounting forms and labels inventory.Records and maintains accurate attendance and grade records, verifies attendance, records data, maintains files, and assists in follow-up calls to parents or employees.Registers students or new employees, establishes appropriate records and files, and processes transferring student records to keep enrollment records accurate.Assists in coordinating special projects or events to ensure effective operation.Maintains enrollments in the Minnesota Automated Reporting Student System (MARSS).Assists in state reports such as Staff Automated Reporting (STAR).Other job-related duties as assigned.Qualifications
High school degree, GED, or equivalent experience.The hiring manager reserves the right to request a skills test prior to hire.Three years of clerical/secretarial training or experience.Organizational skills including filing and knowledge of office equipment.Willingness to accept and follow direction.Ability to work independently with minimum supervision.Good telephone skills.Receptionist skills.Bookkeeping skills.Ability to adjust schedule based on department needs and work overtime, including evenings, weekends, and holidays.Proposed Schedule
Monday–Friday, year‑round.
Hours:
8:00 am–2:00 pm (hours may be adjusted on occasion based on department needs).
Starting Wage
$23.26 per hour.
