As a vital member of the Day Treatment team, the Program Coordinator helps keep program operations running smoothly by supporting client services, staff onboarding, billing, purchasing, transportation, communications, and administrative processes. This role partners closely with clinical and program leadership to ensure quality care and regulatory compliance.
What you will do- Serve as the primary point of contact for visitors, families, community partners, and incoming calls.
- Provide administrative and operational support to ensure smooth day-to-day program functioning.
- Prepare and distribute program communications, reports, newsletters, and client materials.
- Coordinate client transportation needs with schools, families, and service providers.
- Support staff onboarding and offboarding processes, including orientation, training assignments, and equipment coordination.
- Assist with purchasing, invoice processing, inventory management, and office supply coordination.
- Maintain program records, policies, procedures, and documentation to support regulatory and organizational compliance.
- Support billing, mail processing, data tracking, and reporting functions.
- Collaborate with program leadership on quality improvement initiatives, staff training, workflow enhancements, and program operations.
- Serve as a communication resource during critical situations and assist with emergency response coordination when needed.
- Build strong relationships with colleagues, community partners, and other Catholic Charities programs to support positive outcomes for clients and families.
- Perform other administrative and operational duties that contribute to a welcoming, effective, and client-centered environment.
Required Qualifications )
Education:
- Two (2) years post high school minimum, or an equivalent combination of education and experience
- Four (4) years in a related position including experience regarding utilization of Microsoft Office programs and electronic health records
- Must be able to successfully pass a DHS background check and driving check.
