Overall Responsibilities :
- Greeting visitors
- Invoicing shipments to dealers using the JDE E1 system
- Processing credits
- Preparing packages for UPS shipment
- Maintaining log documents for Vendors and Subcontractors
- Cross‑training in various areas of the office as needed
- Invoicing the loads on the schedule for the day and notifying driver of completion
- Emptying driver pouches, sorting, pulling out checks, processing, and sending to Corporate in the daily overnight envelope
- Fileing dealer cards and invoices
- Updating and maintaining dealer cards
- Daily UPS invoicing
- Processing RMA’s
- Typing up delivery schedule and distributing
- Typing up driver pay sheets
- Answering emails from corporate, including typing up STOP signs and providing copies of PODs
- Updating and maintaining information with the Canadian broker
- Keeping track of driver fuel and mileage for report
- Communicating effectively with the Transportation manager and with drivers
- Overseeing confidential information
- Handling front office reception and administration duties
- Greeting visitors, vendors, and applicants
- Answering phones, handling company inquiries, sorting and distributing mail
- Excellent organizational skills and attention to detail
- Strong analytical and problem‑solving skills
- Proficient with Microsoft Office Suite or related software
- Must be able to manage multiple priorities and collaborate cross‑functionally with on‑site and remote teams to achieve results
- Excellent written and verbal communication skills
- Very sharp, innovative, and accustomed to “figuring it out .”
- Mature judgment and decision‑making ability
- Strong project management skills and the ability to work unaided if needed
- Adaptability and flexibility dealing with changing market and economic conditions
- High School Diploma required or equivalent years of experience in clerical, accounting, or finance
- Work well within a team environment
- Willingness to work a flexible schedule
- Work requires weekend and/or evening work
- Ability to multitask, effective time management skills and a basis for action
