JOB SUMMARYServes as the first point of contact for employees, residents, and visitors by providing professional customer service at the City's main reception area. Responsible for operating the City's switchboard, directing incoming calls, greeting visitors, and providing administrative support to the Human Resources Department. Performs a variety of clerical and administrative duties while maintaining confidentiality and delivering exceptional customer service.
PRINCIPLE DUTIES AND RESPONSIBILITIES- Operate the City's switchboard, answer and direct incoming calls, take messages, and greet visitors in a courteous and professional manner.
- Monitor the Annex reception area and provide accurate information and assistance to employees, applicants, and members of the public.
- Receive, sort, distribute, and deliver departmental mail.
- Maintain personnel files while ensuring confidentiality of employee information.
- Assisting with scheduling various meetings and interviews.
- Completing verifications of employment requests promptly.
- Processing accounts payable.
- Provide backup support for Human Resources staff as needed.
- Perform other duties as needed in cooperation with other staff members.
- Assist with filing, scanning, data entry, and other clerical functions.
- Demonstrate effective organization and time management skills.
- Complete work in a timely and efficient manner.
- Ability to organize and prioritize work while maintaining a high degree of confidentiality.
- Ability to prioritize work activities.
- Maintain professional and courteous interactions with employees, applicants, and the public.
- Perform other duties as needed in cooperation with other staff members.
- High school diploma or equivalent required.
- Valid Indiana driver's license required.
- Bilingual proficiency in English and Spanish
- Excellent customer service and interpersonal skills.
- Ability to remain calm and professional when interacting with difficult or upset individuals.
- Strong verbal and written communication skills.
- Working knowledge of recordkeeping practices.
- Proficiency with Microsoft Office applications.
- Basic mathematical and data entry skills.
- Ability to operate standard office equipment, including computers, copiers, scanners, multi-line telephone systems, and other office technology.
- Ability to work independently while contributing effectively within a team environment.
- Ability to follow detailed written and verbal instructions.
- Ability to maintain strict confidentiality regarding personnel information.
- Normal vision with or without correction.
- Ability to work with a pleasant personality and interact with all types of people.
- Ability to physically perform tasks listed above with or without reasonable accommodation.
The work environment characteristics described herein are representative of those an employee encounters while performing the essential functions of this job. Work is performed during Elkhart City Office hours of 8:00 a.m. to 5:00 p.m. The noise level in the work environment is usually moderate.
