Woodland Manor is seeking a dependable and professional Receptionist / Medical Records Clerk to join our skilled nursing facility in Elkhart, IN. This position serves as the first point of contact for residents, families, visitors, and staff while also supporting the facility with medical records management and administrative duties.

Rate: $16/hr - $18/hr
Position SummaryThe primary purpose of this role is to provide front desk reception services and support medical records operations. Responsibilities include answering phones, greeting visitors, maintaining resident records, and assisting with general administrative and office tasks to ensure smooth daily operations.
Key Responsibilities Receptionist DutiesAnswer and direct incoming phone calls in a professional and timely manner
Greet residents, families, visitors, and vendors while maintaining a welcoming and professional front desk environment
Assist with directing visitors to appropriate departments or staff members
Manage incoming and outgoing mail and deliveries
Maintain the reception area to ensure it remains clean, organized, and presentable
Assist with scheduling appointments or meetings as needed
Provide general information regarding the facility to visitors and callers
Maintain and organize resident medical records in accordance with facility policies and HIPAA regulations
File and update resident documentation in both electronic and paper medical records systems
Assist nursing staff with locating, scanning, copying, and filing medical documents
Ensure resident charts are accurate, complete, and properly stored
Support admissions and discharges by preparing and organizing necessary documentation
Maintain confidentiality and security of resident health information at all times
Perform general office tasks such as filing, copying, scanning, and data entry
Maintain office equipment including copiers and printers
Order and organize office supplies as needed
Assist with maintaining employee and administrative files
Support administrative staff with additional clerical duties as assigned
High School Diploma or equivalent required
Excellent computer and data entry skills, particularly for medical records management
Strong communication and customer service skills
Ability to multitask and remain organized in a busy healthcare environment
Experience in healthcare, medical records, or long-term care preferred but not required
