Office Administrator/ Coordinator, Clerical, Data Entry, Admin Assistant
Griffen Plumbing and Heating, LLC is looking for an Air Compressor Admin to provide administrative and operational support to the Air Compressor Division by coordinating service activities, maintaining accurate information in Build Ops, assisting with scheduling and parts management, and ensuring work orders move efficiently from creation through invoicing and closeout.
Key Responsibilities- Work Orders: Create and maintain work orders; assign technicians; ensure labor, travel, parts, and notes are entered accurately; attach documentation; prep jobs for invoicing
- Scheduling & Dispatch: Maintain technician schedule and Build Ops calendar; schedule service and PM calls; resolve conflicts; track overdue work
- Parts & Purchasing: Enter and track POs and backorders; match parts to jobs; assist with receiving, returns, and warranty paperwork
- Invoicing & Closeout: Review completed orders for accuracy/documentation; track unbilled jobs and closeout blockers
- Reporting & Admin: Run Build Ops reports; maintain spreadsheets, equipment/service records, and digital files
- Preventative Maintenance: Maintain PM schedules, work orders, and documentation; track completion status
The Air Compressor Admin is expected to be organized, detail-oriented, and proactive in managing department workflow. This position requires consistent follow-through, accurate recordkeeping, effective communication with technicians and management, and the ability to identify and address incomplete or outstanding items without requiring daily manager follow-up.
Pay Range: $25.00-$29.00 per hour, depending on experience
Work Location: In-office position; remote work is not available
Schedule: Full-time, Monday-Friday
