Position Summary

The Pain Management Phone Room RN is responsible for providing clinical support and nursing care to the pain management patients through telephone calls, electronic communications, and virtual patient portals. Working within established nursing standards and scope of practice, this role serves as a key resource for patients seeking guidance related to pain management, medication refills, postoperative concerns, scheduling questions, and treatment plan follow-up.

The ideal candidate is compassionate, detail-oriented, and professional, with the ability to balance empathy and clinical judgment while consistently working over the telephone managing multiple priorities in a fast-paced environment. Strong computer skills and the ability to independently navigate software programs such as Nex Gen EHR, EPM, and Microsoft Outlook are essential.

Essential Functions and Responsibilities

  • Obtain and document accurate patient information to support quality patient care and clinical decision-making.
  • Respond to patient phone calls and portal messages regarding increased pain, postoperative concerns, prescription refills, scheduling, treatment updates, and other clinical questions.
  • Educate patients regarding their conditions, treatment plans, medications, and provider recommendations.
  • Coordinate prescription refills, medication samples, and prior authorizations under physician direction.
  • Document patient interactions thoroughly and accurately within the electronic medical record.
  • Schedule tests, procedures, and follow-up services as needed.
  • Serve as a clinical resource for patients and internal departments.
  • Prioritize, manage, and return patient calls in a timely and efficient manner.
  • Collaborate with switchboard staff to triage calls requiring clinical assessment and determine appropriate next steps for patient care.
  • Work closely with physicians, clinical staff, and front office personnel to ensure continuity of care and positive patient outcomes.
  • Complete inspection reports, drug-screen documentation, wellness checks, and other assigned clinical tasks.
  • Demonstrate proficiency in Nex Gen EHR, EPM, and Outlook, obtaining patient information independently as needed.
  • Participate in quality improvement activities and assist with the evaluation of nursing practices, office procedures, and policies.
  • Assist with the orientation, training, and mentoring of new phone office staff.
  • Demonstrate fiscal responsibility through efficient use of supplies and by contributing ideas to improve processes and reduce costs.
  • Maintain current nursing knowledge through continuing education, certifications, and professional development opportunities.
  • Attend required meetings, training sessions, and in-services.
  • Maintain strict patient confidentiality in accordance with HIPAA regulations.
  • Perform other duties as assigned.

Qualifications

  • Graduate of an accredited School of Nursing.
  • Current Indiana Registered Nurse (RN) license required.
  • Previous clinical, orthopedic, pain management, or telephone triage experience strongly preferred.
  • Strong communication, customer service, organizational, and critical-thinking skills.
  • Ability to prioritize tasks and manage multiple patient concerns simultaneously.
  • Proficiency with electronic medical records and Microsoft Office applications.
  • Ability to work independently while maintaining a collaborative team approach.
