SUMMARY OF JOB PURPOSE
The Administrative Assistant represents the Elko County Administrative Office, including the County Manager and County Commissioners. The position provides essential administrative and clerical support to the local government administration, ensuring efficient office operations and assisting in the implementation of policies, programs, and services. This role requires excellent organizational skills, attention to detail, and the ability to interact professionally with government officials, employees, and the public.
ESSENTIALFUNCTIONS
- Perform general administrative duties, including answering phones, managing emails, scheduling meetings, and maintaining records.
- Prepare and distribute reports, correspondence, meeting minutes, and other official documents.
- Assist in coordinating public meetings, hearings, and events, ensuring compliance with government procedures.
- Maintain and update databases, filing systems, and official records for the department.
- Process invoices, purchase orders, and other financial documents as required.
- Respond to public inquiries, providing information about government services and policies.
- Support government officials and staff with special projects and initiatives as needed.
- Ensure compliance with local, state, and federal regulations related to administrative processes.
- Handle confidential information with discretion and professionalism.
- Create engaging and informative content to promote government programs, events, and initiatives through social media and the County website. Track social media analytics and suggest improvements for engagement and outreach.
- High School Diploma.
- Must maintain a valid Nevada Driver's License.
- Any combination of education and experience that would likely produce the required knowledge, skills, and abilities.
- Understanding of local government operations, policies, and procedures.
- Knowledge of administrative and clerical procedures, including record keeping, correspondence, and office management.
- Familiarity with laws, regulations, and public sector compliance requirements.
- Basic knowledge of website maintenance.
- Basic financial processing principles.
- Customer service principles and best practices.
- Knowledge of public meeting protocols, including agenda preparation and minutes documentation.
- Proficiency in office software (Microsoft Office Suite, database management, and document preparation tools).
- Knowledge of public records laws and confidentiality requirements.
- Familiarity with social media platforms and best practices, including content creation, scheduling, and engagement.
- Manage records, draft correspondence, schedule meetings, and maintain office efficiency.
- Strong written and verbal communication skills to engage with the public, staff, and stakeholders.
- Interact professionally and courteously with residents, officials, and employees.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook) and familiarity with social media platforms (Facebook, Twitter, Instagram, Linked In).
- Strong problem‑solving skills to assess concerns, identify appropriate resources, and follow up as needed.
- Assess social media and website analytics to improve engagement and outreach strategies.
- Create engaging posts, manage multiple social media accounts, and monitor online engagement.
- Update and edit web content, ensure accessibility compliance, and troubleshoot basic website issues.
- Multitask and prioritize assignments in a fast‑paced environment.
- Work independently and collaboratively within a government office setting.
- Remain calm, professional, and empathetic when assisting upset or frustrated members of the public.
- Exercise patience, diplomacy, and discretion when dealing with difficult interactions.
- Learn and adapt to new software, tools, and digital communication trends.
- Exercise discretion and maintain confidentiality in handling sensitive information.
