How You'll Contribute
  • Serve as the first point of contact for patients, visitors, and providers, delivering exceptional customer service.
  • Answer and direct incoming phone calls, respond to inquiries, and relay messages promptly and professionally.
  • Schedule, coordinate, and confirm patient appointments while maintaining provider schedules.
  • Register patients, update demographic and insurance information, and maintain accurate patient records.
  • Perform general administrative duties including filing, data entry, scanning, faxing, photocopying, and preparing correspondence.
  • Maintain organized office records and databases while ensuring confidentiality of patient information.
  • Coordinate workflow and assist with daily office operations to support providers and clinical staff.
  • Process incoming and outgoing mail and respond to requests for information.
  • Perform basic financial duties such as collecting payments, making deposits, balancing petty cash, and verifying invoices, as applicable.
  • Monitor and replenish office supplies while maintaining a clean, organized, and professional reception area.
  • Collaborate with providers, medical assistants, and other departments to ensure efficient patient flow and a positive patient experience.
  • Participate in department meetings, trainings, and other assigned projects while adhering to hospital policies and procedures.
What We're Looking For

Applicants should have a high school diploma or equivalent. Additional requirements include:

  • Previous customer service, receptionist, or administrative experience.
  • Strong verbal and written communication skills.
  • Excellent organizational and multitasking abilities with strong attention to detail.
  • Ability to prioritize competing demands in a fast‑paced, patient‑facing environment.
  • Basic computer proficiency, including Microsoft Office and data entry.
  • Demonstrated professionalism and the ability to maintain confidentiality.
  • Critical thinking skills with the ability to work independently and exercise sound judgment.
  • Ability to remain calm, courteous, and service‑oriented while working with patients, providers, and staff.
Preferred Qualifications
  • Associate degree.
  • Previous experience in a medical office, physician practice, or healthcare setting.
  • Experience scheduling appointments and coordinating provider calendars.
  • Familiarity with electronic medical records (EMR/EHR) systems.
  • Knowledge of medical terminology and healthcare office workflows.
  • Experience handling insurance information, patient registration, or medical records.
  • Cash handling or basic accounting experience.
