Position SummaryThis role provides clerical and administrative support to the Deputy Chief for Field Operations. The position performs advanced technical level administrative work, may include supervisory responsibility for data entry staff, and coordinates scheduling of the data entry function.
Essential Duties and Responsibilities- Works and cooperates with co‑workers and supervisors at all levels.
- Learns and performs all essential job functions accurately.
- Provides general administrative support to department staff and supervisors.
- Schedules appointments, meetings, training sessions, and other departmental activities.
- Answers and directs incoming phone calls and distributes mail and correspondence.
- Prepares and types letters, memos, reports, and other documentation.
- Maintains organized electronic and paper filing systems.
- Enters and tracks employee overtime, payroll information, and training details to ensure accurate record‑keeping.
- Assists with tracking Field Training (FTO) assignments and verifying related overtime documentation.
- Compiles monthly reports and maintains Excel spreadsheets for payroll and operational tracking.
- Processes and reviews credit card transaction logs and travel/training documentation for submission to Budget/Fiscal.
- Performs other related duties as assigned.
- This job has no supervisory responsibilities.
Education and Experience
High School Diploma or GED and 4 years of related experience, or an equivalent combination of education and experience.
Preferred Qualifications- Considerable knowledge of office practices, procedures, and equipment.
- College coursework in a related field or equivalent combination of education and experience.
- Experience in the field of law enforcement preferred; knowledge of police procedures is an advantage but not required.
- Experience with completing research through electronic resources, gathering and interpreting information, and communicating findings in compliance with policy and laws.
- Acceptable typing ability.
- Ability to multi‑task and effectively utilize time‑management skills.
- Ability to establish and maintain effective working relationships with others.
- Ability to maintain confidentiality and comply with all regulations and legal requirements.
- Must obtain and maintain UCR certification, NCIC CN1 certification, MPTC Instructor Certification, and NCIC Instructor Certification.
Employees are required to sit, use hands, reach, and talk or hear. They may also stand, walk, stoop, kneel, crouch, or crawl, and occasionally lift or move up to 25 pounds.
