Position Summary

The Accounting Manager is responsible for overseeing the financial health and day-to-day accounting operations of the agency while supporting key administrative and human resources functions. This hands-on role manages accounting, financial reporting, budgeting, payroll, employee benefits administration, insurance, and compliance. As a trusted business partner to agency leadership, the Accounting Manager provides financial insight while ensuring employees receive excellent support throughout their employment lifecycle.

KEY RESPONSIBILITIES
  • Manage all day-to-day accounting functions including General Ledger, Accounts Payable, Accounts Receivable, bank reconciliations, and month-end close.
  • Prepare monthly, quarterly, and annual financial statements.
  • Monitor agency cash flow and maintain accurate financial forecasting.
  • Assist leadership with budgeting, financial planning, and profitability analysis.
  • Track agency utilization, overhead, and project profitability as needed.
  • Coordinate annual financial audits and tax preparation with outside CPA firms.
Accounts Receivable & Client Billing
  • Oversee client invoicing and revenue recognition with knowledge of Clients & Profits
  • Monitor collections and aging reports.
  • Work with account teams to resolve billing issues.
  • Manage vendor payments and maintain positive vendor relationships.
Payroll Administration
  • Process bi-monthly payroll and ensure compliance with federal, state, and local regulations.
  • Maintain payroll records and employee compensation information.
  • Coordinate year-end payroll reporting including W-2s and tax filings.
Benefits Administration
  • Administer all employee benefit programs including:
  • Life and disability insurance
  • Simple IRA plan
  • Flexible Spending/FSA programs
  • Serve as the primary liaison with benefits brokers and insurance providers.
  • Process benefit enrollments, changes, and terminations.
  • Educate employees on benefit offerings and answer benefit-related questions.
  • Monitor benefit invoices and reconcile monthly benefit billing.
  • Assist leadership in evaluating benefit offerings and annual renewals.
Human Resources Support
  • Coordinate employee onboarding and offboarding from an administrative perspective.
  • Prepare employment paperwork and maintain confidential personnel files.
  • Maintain PTO tracking and employee records.
  • Assist with HR compliance documentation.
  • Coordinate workers' compensation and unemployment claims.
Insurance & Risk Management
  • Coordinate agency business insurance policies including:
  • General Liability
  • Professional Liability (E&O)
  • Property Insurance
  • Workers' Compensation
  • Manage renewals and certificates of insurance.
Compliance
  • Ensure compliance with accounting standards and employment regulations.
  • Maintain financial controls and internal processes.
  • Assist with state registrations, annual reports, licenses, and business filings.
Operational Support
  • Recommend process improvements that increase efficiency.
  • Assist agency leadership with operational reporting and KPI tracking.
  • Support financial software systems.
QUALIFICATIONS Education
  • Bachelor's degree in Accounting, Finance, or Business Administration.
  • CPA designation is preferred but not required.
Experience
  • 8+ years of progressive accounting experience.
  • Experience in a marketing, advertising, professional services, or service agency environment preferred.
  • Experience administering employee benefits and payroll strongly preferred.
