As a Retail Development Coordinator, you play a key support role within the Retail Development Team, keeping day-to-day operations running smoothly as the team delivers retail and branded development projects across Belmont Park Village. You'll support senior team members across administration, design assistance, cost tracking, and stakeholder coordination — ensuring that information is well managed, deadlines are tracked, and the team can focus on delivering exceptional retail environments.

What

you will be doing Administrative & Project Support
  • Organizing and maintaining project trackers, approval logs, and shop fit schedules, keeping milestones and records up to date.
  • Collecting, filing, and archiving contractor, consultant, and brand documentation in line with team procedures — including statutory certificates, sustainability records, and as‑built drawings.
  • Maintaining digital filing systems for permits, insurance documents, payment records, and project correspondence.
  • Preparing materials for executive approvals and assisting with compiling reports and presentations as directed.
Design & Brand Assistance
  • Assisting with preparing and issuing CAD drawings, area schedules, and measurements for internal and brand use.
  • Supporting the development of visual materials including Photoshop studies, mood boards, mockups, and presentation decks.
  • Maintaining materials libraries, finishes samples, and reference documentation.
  • Collating and organizing criteria manuals, permitting information, and competitor reference materials.
  • Raising, tracking, and monitoring purchase orders and invoices using Oracle or equivalent systems.
  • Maintaining cost trackers and assisting with budget reporting.
  • Supporting the Finance and Procurement teams in resolving routine queries related to Retail Development activity.
Stakeholder & Site Coordination
  • Coordinating scheduling for meetings, workshops, site visits, and brand presentations — taking and distributing meeting notes where required.
  • Acting as a professional and responsive first point of contact for administrative queries, escalating matters appropriately.
  • Assisting with preparation for site visits involving brands, architects, engineers, and contractors.
General Team Support
  • Drafting routine correspondence, emails, agendas, and presentations under guidance.
  • Assisting with onboarding new team members.
  • Contributing to ad‑hoc research and additional tasks as needed.
  • Supporting travel arrangements and expense submissions for the team.
What makes you special Experience
  • Prior experience in an administrative, coordinator, or assistant role — ideally within retail design, construction, property or a professional services environment.
  • Comfortable working within structured processes and supporting multiple stakeholders simultaneously.
Technical Skills
  • Microsoft Office: Demonstrated proficiency in Excel, Word, Outlook, and PowerPoint.
  • Document Management: Experience with SharePoint or a similar file‑sharing platform.
  • Financial Systems: Exposure to Oracle or a comparable procurement/invoice‑processing system is preferred.
  • Collaboration Tools: Proficiency in Microsoft Teams and Zoom.
  • Design Tools: Familiarity with CAD, Photoshop, or InDesign is advantageous but not essential.
