Position: Executive Assistant to the Superintendent

Title: Executive Assistant to the Superintendent

Organizational / Labor Relationship: None

Status (FLSA): 12-month position, Exempt, Salaried

Reporting Relationships: Ascending Superintendent; descending - none

Position Summary: Under general direction, serve as Executive Assistant to the Superintendent, performing a wide variety of highly independent, difficult, and complex administrative support services in the office of the Superintendent

Salary: Minimum Annual Salary - $72,000

Qualifications
  • Education:

    Associate's Degree required;
    Bachelor's Degree preferred.
  • Experience:

    Significant executive-level administrative experience, preferably in a public sector or educational environment.
Knowledge / Skills / Abilities
  • Performs a variety of highly independent and complex administrative support services for the Superintendent's office and maintains confidentiality.
  • Ability to organize, plan, and effectively manage job duties and responsibilities in order to complete work in a fast-paced environment.
  • Strong organizational skills to manage records, budgets, reports, and minutes in paper and/or electronic form.
  • Responds to the needs of community members, students, staff, and the School Board.
  • Demonstrates the ability to communicate in a diplomatic and tactful manner with all stakeholders in oral and written formats.
  • Effectively and efficiently assists the Superintendent and departments with confidential matters.
  • Ability to problem-solve, analyze difficult situations, and adopt an appropriate course of action.
  • Maintains current knowledge of regulations, policies, and operational procedures.
  • Advanced skills in Microsoft and Google applications and other relevant software, including Board Docs, accounting software, and student information systems.
  • Ability to address and support emergency situations within school buildings and the district.
Essential Functions / Duties / Responsibilities Executive Support
  • Prepare and manage confidential correspondence, reports, and presentations in collaboration with other district departments.
  • Assist the Superintendent in scheduling meetings, advisory groups, and events as directed.
  • Maintain budget for the Superintendent's office and the School Board.
  • Conduct research and compile information for the Superintendent.
  • Process applications for tuition reimbursement for administrative and professional staff.
  • Coordinate all incoming correspondence to the Superintendent's office.
  • Serve as the Open Records Officer for the school district.
  • Process PDE reports on behalf of the Superintendent, including but not limited to data for the Teacher Information Management System.
  • Perform other duties as assigned by the Superintendent.
Board Secretary
  • Serve as the primary point of contact for the School Board, including managing communications, coordinating activities, and attending district events.
  • Prepare and distribute accurate and timely School Board meeting agendas, materials, and meeting minutes.
  • Coordinate School Board training and monitor completion of mandatory training.
  • Manage conference registration and travel arrangements for the School Board.
Physical Requirements
  • Ability to stand, bend, stoop, sit, lift, reach, communicate (vision, hearing, and speech), carry or convey sufficient weight to safely and effectively carry out functions, duties, and responsibilities.
  • Ability to independently ambulate in and around school buildings and office areas.
  • Ability to travel to and from assigned work locations without employer support.
  • Is able to independently read, write, speak, and comprehend the English language.
