Organizational / Labor Relationship: Collective Bargaining Agreement – East Penn School District and Administrative Assistant and Instructional/Staff Assistant Employees
Status (FLSA): Non-exempt, 10 month position, Instructional Assistants can work on normal student days.
Reporting Relationships: Ascending – building administrator; descending – none
Evaluation: Staff Assistants are reviewed after the initial 90 days of employment and annually thereafter by the building administrator
Position Summary: A Staff Assistant assists the professional staff in monitoring, discipline and other duties related to supporting all students.
QualificationsEducation: High School Diploma or GED Equivalent
Required Skills and Knowledge- Prior customer service, front-desk, or office administration experience
- Strong multitasking skills with the ability to manage interruptions and shifting priorities
- Strong organizational skills and attention to detail
- Proficiency with computers, Google Workspace and standard office equipment
- Excellent verbal and written communication skills
- Ability to maintain confidentiality and exercise discretion (FERPA compliance)
- Composure and problem-solving ability under pressure or during high-volume periods
- Team-oriented with the flexibility to support multiple offices and priorities
- Positive attitude and adaptability in a dynamic, fast-paced environment
- Experience with student information systems (e.g., Power School, Schoology)
- Prior experience in a school or educational setting
- Greet and assist all visitors, parents, students, and staff with warmth and professionalism
- Answer, screen, and route a high volume of phone calls promptly and courteously
- Respond to inquiries in person, by phone, and by email, or direct them to the appropriate staff member
- Manage visitor sign-in/sign-out procedures and issue badges per school safety protocols
- Maintain a calm, welcoming atmosphere even during peak times or high-stress situations
- Process student sign-in/sign-out for early dismissal, late arrival, and appointments
- Process working papers for eligible students
- Coordinate student attendance calls and communicate with parents regarding absences as needed
- Distribute messages, forms, and materials to students promptly
- Perform data entry and maintain accurate records in the student information system (SIS)
- Prepare, copy, and/or distribute correspondence, forms, and school communications
- Manage incoming/outgoing mail and packages
- Knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition and grammar
- Ability to effectively communicate with students, staff, parents, and administrators
- Ability to build and maintain working relationships and positive rapport with students, staff, parents and administrators
- Ability to organize and plan effectively
- Ability to attend work regularly at assigned work hours subject to lawful leave rights and responsibilities
