Materials Management Buyer

This is a Full Time Monday
- Friday Position. Hours are 8:00am- 4:30pm

Position Summary

Promotes the most effective use of hospital funds in the acquisition of approved supplies. Plans specific short and long-range purchasing objectives for products presently used within the hospital. Assures correct pricing and best benefits to the hospital according to the guidelines of contracts negotiated through the current GPO Group Purchasing Organizations, and develops individual contracts with vendors for those supplies purchased outside of GPO Contracts.

Develops purchasing arrangements, which are communicated to user departments. Advises the user departments, and the Director of Materials Management of supply problems. Arranges for procurement on a pooled basis rather than department by department.

Essential Functions /

Job Duties
  • Understands and evaluates all GPO negotiated purchasing contracts and how they relate to approved products used by the hospital.
    • Makes recommendation in the selection of vendors when reviewing GPO contracts for best pricing, pooled purchases, freight charges, etc.
  • Procures medical and non-medical supplies which have been approved for use within the hospital.
    • Has the authority to issue standing and block purchase orders to qualified individuals in user department according to policy and procedures.
    • Follows-up with vendors on short/long shipments within 48 hours when notified by the Receiving Clerkor the buying department.
    • Prepares, reviews and edits purchase orders to ensure accuracy and completion.
      • All line items ordered are entered on the purchase order before products or invoice are received.
    • Ensures that hospital standard procedures are followed by all departments in connection with purchases of supplies all departments in connection with purchases and services.
    • Assists in receiving and vendor discrepancies on all products, returns overages and returnable goods when necessary within 20 days of the invoice.
    • Follows up on all back-ordered material on a weekly basis, substituting when necessary with approved products. (Excludes Capital Equipment.)
    • Updates both Materials Management and departmental staff on status of orders.
    • Assists distribution staff members when needed
Position Qualifications
  • 2-5 years of experience in procurement, strategic sourcing or Materials Management
  • Highly organized with strong attention to detail and accuracy
  • Strong ability to prioritize multiple tasks while maintaining accuracy
  • Clinical experience helpful
  • High School Gradate or General Education Degree (GED) Required
  • Bachelor's Degree Preferred
  • Knowledge of Word Processing Software, Electronic Medical Records Software and Spreadsheet Design Software
