Accounting Manager Position Summary

The Accounting Manager reports directly to the Executive Director and is responsible for the day-to-day accounting operations of the Association. This position serves as the operational leader for the Association's accounting functions, ensuring accurate financial records, timely reporting, strong internal controls, and efficient financial processes.

Working closely with the Executive Director, the Accounting Manager supports the financial management of a nationwide membership organization by maintaining accounting records, preparing financial reports, administering payroll, managing cash receipts and disbursements, and assisting with budgeting, audits, and compliance. This position also collaborates with staff across the organization to support membership, events, grants, and other Association programs.

The ideal candidate is highly organized, detail-oriented, self-directed, and capable of managing multiple priorities while maintaining exceptional accuracy and customer service.

Responsibilities:

Accounting Operations
  • Manage the Association's daily accounting functions, including accounts payable, accounts receivable, cash receipts, deposits, general ledger activity, and monthly reconciliations.
  • Prepare and post journal entries and maintain accurate accounting records.
  • Reconcile bank accounts, credit card accounts, investment activity, and other balance sheet accounts.
  • Ensure all intercompany activity is fully documented and accounts are reconciled monthly.
  • Maintain the general ledger and chart of accounts in accordance with Generally Accepted Accounting Principles (GAAP).
  • Process employee expense reimbursements and corporate credit card reconciliations.
  • Monitor cash balances and communicate cash flow needs and trends to the Executive Director.
  • Ensure all financial transactions are properly documented and recorded.
  • Prepare monthly financial reports and supporting schedules for review by the Executive Director.
  • Research account variances and resolve discrepancies in a timely manner.
  • Prepare recurring financial analyses and reports to support operational decision-making.
  • Assist with maintaining financial dashboards and key performance metrics.
Payroll and Benefits Administration
  • Submit payroll accurately and on schedule to third-party processor.
  • Maintain payroll records and reconcile payroll-related accounts.
  • Coordinate payroll tax reporting and benefit deductions with third-party processor.
  • Manage employee benefit administration and retirement plan contributions.
Budget Support and Financial Planning
  • Assist the Executive Director in preparing the annual operating budget.
  • Monitor departmental expenditures and prepare budget-to-actual reports.
  • Work with department managers to track project and program budgets.
  • Assist with forecasting revenue and expenditures throughout the fiscal year.
Audit, Compliance, and Internal Controls
  • Prepare schedules and supporting documentation for the annual independent audit.
  • Assist with preparation of IRS Form 990 and other required regulatory filings.
  • Maintain documentation supporting internal controls and accounting procedures.
  • Ensure compliance with organizational financial policies and grant requirements.
  • Recommend process improvements that enhance efficiency and strengthen internal controls.
Program and Department Support
  • Partner with staff responsible for membership, meetings, educational programs, sponsor ships, publications, and special projects to ensure accurate financial tracking.
  • Reconcile event registrations, sponsorship revenue, and program expenses.
  • Assist departments with financial reporting and budget monitoring.
  • Provide excellent internal customer service by responding promptly to accounting-related questions from staff and volunteer leaders.
Systems and Process Improvement
  • Maintain accounting software records and assist with system upgrades or enhancements.
  • Identify opportunities to streamline workflows and improve financial reporting processes.
