Client Care Coordinator to join our team. This full-time position plays a vital role in creating a welcoming environment for clients and families while supporting the smooth operation of our therapy services.
The Client Care Coordinator will be responsible for front desk reception, scheduling, communication with clients and providers, and a variety of clerical and administrative duties that help ensure exceptional client experiences. This role requires strong attention to detail, excellent communication skills, and a genuine interest in supporting neurodivergent individuals and their families.
Key Responsibilities- Coordinate therapy scheduling, including evaluations, programs, and appointment changes.
- Send, receive, and organize client paperwork; ensure all forms are complete prior to appointments.
- Process client payments and maintain accurate payment records; assist with daily deposit preparation.
- Manage prior authorizations (PARs) and treatment plans (POCs) for Medicaid clients; verify eligibility.
- Communicate with doctors, external providers, and internal clinical staff to support client care.
- Support the intake process by responding to new client inquiries and scheduling initial calls.
- Manage incoming and outgoing mail, faxes, and emails.
- Greet and checkin clients and visitors with warmth and professionalism.
- Answer and direct incoming calls; respond to general inquiries and voicemail messages.
- Maintain a clean and welcoming reception and waiting area.
- Provide administrative support to clinical and leadership staff as needed.
- Stay informed about STAR programs and services to accurately share information with clients and families.
- Assist out-of-town clients with travel and accommodation information when needed.
- Other duties and projects as assigned.
- Minimum 4 years of administrative or customer service experience.
- Proficiency with computers, email, and scheduling systems.
- Experience working in healthcare, therapy, or non-profit settings preferred.
- Familiarity with Medicaid or insurance processes a plus.
- Exceptional professionalism, empathy, and interpersonal skills.
- Strong written and verbal communication abilities.
- Excellent organizational, time management, and multitasking skills.
- Reliability and punctuality in a fast-paced, team-oriented environment.
- Comfort and compassion in interacting with neurodivergent clients and families.
