Administrative Assistant III – The right‑hand person for one or more Director and Vice President‑level leaders, proactively managing calendars, tracking tasks, coordinating travel, events, and preparing reports and presentations that consistently impress. This role also supports broader executive teams, improves digital filing processes, and leverages AI‑powered tools to optimize efficiency.
Responsibilities- Handle and route complex and sensitive inquiries from internal and external sources.
- Consolidate, prepare, and route high‑level reports and presentations.
- Create, edit, and manage detailed spreadsheets to support administrative and leadership tasks.
- Prepare and submit comprehensive expense reports and purchase requisitions.
- Develop and maintain databases; ensure accurate and timely data input in compliance with company policies.
- Coordinate high‑level business meals, on‑site meetings, and events.
- Assist in the coordination and execution of complex projects, including planning, execution, tracking, documentation, and reporting.
- Provide support to IT and Facilities departments for meetings and events.
- Manage detailed calendars for Senior Vice Presidents, Vice Presidents, and Directors, including meetings and travel.
- Prepare, edit, and send detailed communications, presentations, and documents.
- Act as liaison between executives and internal/external stakeholders.
- Handle high‑level administrative tasks focused on business operations.
- Facilitate meeting and project coordination between cross‑functional departments.
- Support onboarding and training for new employees.
- Organize medium‑sized team‑building and employee engagement activities.
- Handle confidential information with discretion and manage flow of information and communications.
- Assist in medium‑scale project planning, execution, tracking, documentation, and reporting.
- Support budget planning and tracking, including vendor management.
- High school diploma or equivalent and 5+ years of relevant office administration or administrative support experience.
- Higher level relevant degree may substitute for experience.
- Proficient knowledge of administrative practices, including expense reports, purchase requisitions, meetings, events, and travel.
- Professional demeanor and excellent communication skills.
- Ability to develop solutions to a variety of complex problems and execute projects and goals.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, Teams, One Note, SharePoint Online), Travel and Expense Platforms (Concur), and Project Management Applications (Smartsheet, Microsoft Project).
- Foundational knowledge of Ticketing Systems (Service Now) and project management applications.
- Beginner‑level experience utilizing AI‑powered productivity tools (e.g., AI‑driven scheduling assistants, chatbots, generative AI for drafting correspondence) to enhance workflow efficiency.
- Associate’s degree in Business Administration or related field.
- Experience in the Aerospace and Defense industry.
- Expert knowledge of Workday or similar HRIS system.
- Certifications such as Professional Administrative Certification of Excellence (PACE) are optional but beneficial.
- Strong organizational skills with ability to manage multiple tasks simultaneously.
- Excellent interpersonal skills and ability to work well with teams.
- Experience with U.S. military or Department of Defense (DOD) environment.
- Experience with Concur Travel and Expense platform or other travel management system.
- Experience or familiarity with AI‑powered office tools (AI scheduling assistants, automated data analysis, generative AI for document creation) is a plus.
- Ability to lift up to 20 lbs regularly.
- Ability to sit or stand for extended periods.
- Proficiency with computers and office equipment.
- Manual dexterity for handling office supplies and equipment.
- Ability to work in an office environment.
- Ability to travel may be required.
Estimated starting salary range: $29.03 – $39.92 per hour. Compensation varies based on key skills, experience, and qualifications. Benefits include medical, dental, and vision plans; 401(k) with 150% match up to 6%; life insurance; 3 weeks paid time off; tuition reimbursement; and additional benefits.
Security ClearanceThis position requires the ability to obtain and maintain a Secret U.S. Security Clearance. U.S. citizenship is required for an active security clearance; non‑U.S. citizens may not be eligible.
