York is seeking a CLAO Operations Lead which will report to and support our Chief Legal & Administrative Officer (CLAO) and the broader CLAO department. This role will provide advanced executive-level administrative as well as department operational support, ensuring the team functions efficiently and effectively. The location is onsite in our Greenwood Village office, no remote option.
Key Responsibilities:- Manage complex calendar scheduling and prioritization for the Chief Legal & Administrative Officer.
- Provide other advanced executive administrative support.
- Format and edit legal documentation, under the supervision of an attorney.
- Establish and maintain databases, such as for state registrations and corporate matters.
- Maintain and organize content to ensure accuracy, appropriate accessibility restrictions, and version control.
- Organize, schedule, and facilitate meetings, inclusive of assembling presentation materials and managing agendas and follow up assignments.
- Secure, coordinate, and manage legal courier services.
- Support and facilitate records management, inclusive of document collection and preservation.
- Plan, coordinate, and execute team building events and department wide activities.
- Handle attorney-client privileged and other sensitive and confidential information with professionalism, discretion, and sound judgment.
- Bachelor's degree or equivalent professional experience.
- 5+ years of administrative experience, including 2+ years supporting at the executive level.
- Ability to engage efficiently and professionally with internal stakeholders, outside counsel, and members of the board.
- Proficient to advanced skills in Microsoft Office, with the ability to create professional documents, spreadsheets, and presentations.
- Exceptional attention to detail and accuracy.
- Demonstrated ability to manage competing priorities while incorporating input from multiple stakeholders.
- Excellent written, verbal, and interpersonal communication skills, demonstrating polished, professional interactions across all levels inside and outside the organization.
- Proactive, self motivated, and highly organized with strong follow through.
- Ability to maintain composure in high-pressure environments and when faced with impending deadlines.
- Ability to work extended hours as needed.
- Strong problem solving skills and the ability to anticipate needs.
