Note:

Occasional flexibility is required to support special events (e.g., early morning event setups or evening functions). Hours are adjusted accordingly during event weeks.

POSITION SUMMARY:

This position is responsible for supporting the Learning Services department by performing administrative and secretarial functions for the Deputy Superintendent, Director of Secondary Success, Director of Learning Services, and the Learning and Assessment Coordinator. These duties include, but are not limited to, data entry, recordkeeping, database management, reporting, budgeting, inventory, purchasing, billing, preparing financials, renewing subscriptions, scheduling meetings, maintaining calendars, answering phones, routing calls, typing correspondence, analyzing reports, organizing and maintaining files, training, processing and distributing mail.

May assist with translation and/or communication using second-language skills, if applicable. Develop and promote good community relations among stakeholders.

ESSENTIAL DUTIES AND RESPONSIBILITIES:
  • Manage employee files, including budget information, location, schedules, etc.
  • Process purchase requests, invoices, timesheets, mileage reports, work orders, etc., using online systems.
  • Generate, analyze, and submit required District, State, and Federal reports.
  • Provide guidance, troubleshooting, and training on equipment or systems such as Frontline, Infinite Campus, iAttend, and Infinite Visions.
  • Establish and maintain files, records, and subscriptions.
  • Create and maintain spreadsheets, forms, newsletters, bulletins, agendas, etc.
  • Answer phones and route calls appropriately.
  • Schedule and coordinate events, meetings, trainings, and activities.
  • Maintain calendars for all team members.
  • Order and maintain inventory.
  • Actively participate in required training and audits.
  • Establish student, staff, and parental rapport that allows for a proactive response to potential problems.
  • Apply and implement knowledge, skills, and new understandings to support the system and processes.
  • Schedule, coordinate, attend, and take meeting minutes for the District Accountability Committee (DAC).
  • Perform other related duties as assigned or requested.
SUPERVISION/TECHNICAL RESPONSIBILITIES:

Provide assistance with interviews, training new hires, assigning and directing work, providing performance feedback, addressing complaints, and resolving problems.

BUDGET AND/OR RESOURCE RESPONSIBILITIES:

Maintain accurate recordkeeping.

Collaborate in creating and managing budgets for Learning Services, the Director of Secondary Success, and the Learning and Assessment Coordinator.

Submit accurate reports on time as funding may be associated.

EDUCATION/TRAINING/

EXPERIENCE:

High school graduate or equivalent.

Bachelor's degree (preferred).

Three (3) years of job-related experience (preferred).

English fluency will be determined through the application and interview process.

LICENSES OR

CERTIFICATIONS:

Current CPR and First Aid (preferred).

Notary (preferred).
