POSITION SUMMARY: This position is responsible for supporting Nutrition Services by performing administrative and secretarial functions and providing coverage in kitchens when necessary, typically 1-2 days per week. These duties include, but are not limited to, Processing free and reduced educational benefit applications and all related duties, data entry and data checks, recordkeeping, database management, reporting, budgeting, invoice processing, accounting support, making and entering bank deposits, scheduling meetings, maintaining calendars, typing correspondence, analyzing reports, organizing and maintaining files, managing staff timesheets, coordinating substitutes, providing kitchen coverage when short staffed or additional support is needed, supporting with district events and special occasions, and promote good community relations among stakeholders.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Help to process and maintain Free and Reduced applications, and all related forms/lists.
- Manage program files and documentation including snack attendance records and rosters, and FFVP time sheets and production records.
- Provide coverage in kitchens when staff is out, or when additional support is needed, including special events, which could be in the evening.
- Manage staff timesheets and absences, including scheduling coverage for callouts and time off requests as well as managing paper time cards for substitutes and extra duty staff.
- Create POs in accounting system, process invoices, reconcile P-Card purchases, including maintaining and filing receipts.
- Make weekly bank deposits and enter into accounting system.
- Generate and submit required District, State and Federal reports required for claims.
- Create and maintain spreadsheets, forms for staff training & PD, acknowledgements, key and money sign-ins/outs.
- Support with the hiring process; calling references, filing documentation.
- Actively participate in required training and audits.
- Establish student, staff and parental rapport that allows for a proactive response to potential problems.
- Apply and implement knowledge, skills and new understandings to support the system and processes.
- Provide guidance, trouble shooting, and training on equipment or systems to staff.
- Establish and maintain files and records.
- Perform other related duties as assigned or requested.
SUPERVISION/TECHNICAL RESPONSIBILITIES:
Supervision responsibilities applicable when covering in a kitchen. Proficient with Microsoft Office Suite, particularly Word & Excel; proficient with Google Platforms, including Google Calendar, Gmail, Google Drive, and Google Meets; experience with databases, student information systems, accounting/financial software, timekeeping systems, and department-specific software; strong data entry, spreadsheet, reporting, and data verification skills; ability to create and maintain electronic forms, records, spreadsheets, and tracking systems;
ability to process purchase orders, invoices, P-Card transactions, and bank deposits; ability to troubleshoot technology and provide basic staff training; and ability to maintain confidentiality and securely manage sensitive student, employee, and financial information.
