What you'll do
  • Collaborate with university representatives and stakeholders to understand event objectives and requirements, ensuring alignment with Kansas State University's mission and vision.
  • Develop a comprehensive project plan that outlines timelines, budgets, and resource allocation for the event, ensuring all elements are executed efficiently.
  • Coordinate logistics, including venue selection, catering, audiovisual needs, and transportation, to create an engaging and memorable experience for all participants.
  • Manage event marketing and promotional activities, utilizing various channels to maximize attendance and engagement, including social media, email campaigns, and community outreach.
  • Oversee the registration process, ensuring a smooth experience for attendees from initial sign-up through event participation.
  • Lead a team of volunteers and staff, providing guidance and support to ensure all tasks are completed effectively and on schedule.
  • Monitor event progress and make real-time adjustments as necessary to address any unforeseen challenges or opportunities that may arise.
  • Evaluate the event's success through feedback collection and analysis, preparing a comprehensive report that highlights achievements and areas for improvement for future events.
  • Maintain strong relationships with vendors and partners, negotiating contracts and ensuring all services meet the high standards expected by Fransenpittman and Kansas State University.
  • Ensure compliance with all relevant regulations and safety protocols, creating a secure environment for all attendees.
  • Assist in post-event activities, including thank-you communications and follow-up surveys to gather insights from participants.
  • Stay updated on industry trends and best practices in event management, continuously seeking ways to innovate and enhance the event experience.
Requirements
  • Bachelor's degree in Event Management, Hospitality, Marketing, or a related field.
  • A minimum of three years of experience in event planning or project management, preferably in an academic or nonprofit setting.
  • Proven ability to manage multiple projects simultaneously while maintaining attention to detail and meeting deadlines.
  • Strong interpersonal and communication skills, with the ability to engage effectively with diverse groups of stakeholders.
  • Proficiency in event management software and tools, as well as Microsoft Office Suite (Word, Excel, PowerPoint).
  • Demonstrated problem-solving skills and the ability to think critically under pressure.
  • A proactive attitude with a strong sense of ownership and accountability for event outcomes.
Nice to have
  • Experience working with universities or educational institutions, particularly in event coordination.
  • Familiarity with digital marketing strategies and tools to promote events effectively.
  • Certification in event planning or project management (e.g., CMP, PMP) is a plus.
  • Knowledge of budgeting and financial management related to event planning.
