For over 30 years, Inter Global Exhibits (IGE) has designed and built custom trade show exhibits worldwide. We operate as a hands-on production company, with office, warehouse, and project teams working closely together.
We are seeking a reliable and highly organized HR & Office Coordinator to support day-to-day HR administration, recruiting coordination, and overall office organization in our in-office environment.
This is a hands-on, in-office role in a small boutique family business environment. It is not a corporate HR position.
Position OverviewThis role supports:
- HR administration and payroll updates
- Onboarding and offboarding
- Employee documentation
- General office organization and coordination
The focus is execution, organization, and follow-through.
Key Responsibilities- Post job ads on Indeed and Linked In
- Screen resumes and schedule interviews
- Conduct initial phone screenings
- Coordinate interviews with managers
- Prepare offer letters
- Manage onboarding paperwork
- Process new hires, pay changes, and terminations in Paychex
- Maintain employee files and HR records
- Track PTO in VOZ
- Assist with benefits enrollment
- Maintain job descriptions and employee acknowledgements
- Support workers’ compensation and unemployment documentation
- Coordinate new hire paperwork
- Ensure equipment and system setup is arranged
- Process exit documentation
- Maintain termination checklists
- Provide initial orientation and trainning
- Support day-to-day office organization
- Coordinate workspace setup for new hires
- Manage office supplies and basic vendor coordination
- Assist management with administrative tasks
- Help maintain internal communication flow
Experience in:
- Manufacturing company
- Production or warehouse environment
- Small-Medium business office setting
Comfortable working with both office and shop-warehouse employees.
Required Experience- 2–4 years in HR, office administration, or related role
- Experience using payroll platforms (Paychex preferred)
- Experience hiring hourly or operational staff preferred
- Strong organizational and follow-through skills
