Job Description

The Oklahoma Medical Marijuana Authority (OMMA) is seeking a full-time Science Coordinator II. This is a state position governed by the Civil Service Rules, in state government located in Oklahoma City, OK. OMMA offers a comprehensive benefits packet, including a generous benefit allowance to offset the cost of insurance premiums for employees and their eligible dependents. The annual salary for this position is up to $65,000 based on education and experience.

Position

Summary

The Science Coordinator II position provides administrative, operational, and communications support for the Science Department, assisting with scheduling, records, purchasing, travel, onboarding, and departmental correspondence. The role also coordinates with internal and external partners to support licensing communications, vendor management, fiscal processes, IT needs, and open records requests.

Position Responsibilities /Essential Functions
  • Plans and schedules meetings, including preparing agendas, taking notes, and recording minutes as needed.
  • Maintains office supply inventory and places replenishment orders when necessary.
  • Organizes and maintains departmental files and records.
  • Monitors email inquiries directed to the Science Department, and routes messages to the appropriate staff member.
  • Processes authorized P‑card purchases in accordance with established procedures.
  • Makes motor pool reservations for departmental travel.
  • Coordinates travel arrangements for Science Department staff.
  • Assists with on-boarding new employees.
  • Creates, updates, and maintains departmental forms.
  • Facilitates IT service requests and ensures timely resolution of departmental technology needs.
  • Communicates with licensed entities, which includes official correspondence, information requests, and inspection updates.
  • Monitors and helps resolves business complaints in coordination with department leadership.
  • Coordinates with vendors to obtain quotes, manage purchasing, coordinate deliveries, and arrange on-site appointments.
  • Supports routine fiscal and purchasing activities, including processing invoices, payments, and reconciliations in accordance with state procedures.
  • Tracks and manages open records requests, coordinating document collection and fulfillment.
  • Collaborates with the Finance and Internal Services Departments to ensure that accurate asset tagging and tracking of lab equipment.
  • Other duties as assigned.
Education and Experience

Education and Experience requirements at this level consist of a bachelor's degree and three (3) years of professional experience in business or public administration; or an equivalent combination of education and experience, substituting one year of technical administrative experience for each year of the required bachelor's degree.

Physical Demands and Work Environment

Work is typically performed in an office setting with a climate-controlled settings and exposure to moderate noise level. While performing the duties of the job, employee is required to talk, stand, walk, and reach with hands and arms. This position requires long period of sitting and daily use of computer and phone.
