We are seeking a highly skilled and experienced Finance Manager to provide dedicated financial support to the Performance Garage. The ideal candidate will have a strong background in financial management and a deep understanding of non-profit accounting. This role requires twice weekly in-person work days with the Performance Garage team and a commitment to maintaining financial confidentiality and trust.

About the Performance Garage

The Performance Garage is a dance service organization that is dedicated to reducing the barriers for dance artists to create their work, providing a wide range of dance education opportunities, and further developing a community of dance supporters and advocators. The Performance Garage, located in Spring Garden, Philadelphia, offers studio and production rentals at subsidized rates for dance classes, workshops, auditions, rehearsals, and performances as well as a free dance program for local youth, and a comprehensive artist residency program called Dance Visions.

Duties & Responsibilities
  • Financial Record Keeping:
    Maintain accurate and up-to-date financial records, including income, expenses, investments, and assets.
  • Budget Management:
    Develop, monitor, and adjust budgets to ensure that financial goals and objectives are met. Provide financial reports for each board meeting based on past templates, attend eight yearly board meetings, and provide insight and analysis to both the Performance Garage Executive Director and its Board of Directors.
  • Banking and Investment Transactions:
    Oversee and facilitate banking deposits working with the Development Director closely. Deposit checks to the bank. Manage accounts and investments to optimize financial performance.
  • Expense Management:
    Handle all Performance Garage financial transactions, including payment of bills, employee Payroll through ADP, artist renters’ ticket receipts through Eventbrite, artist security deposits after performances are completed, and any other financial obligations. Ensure all expenses are properly tracked and categorized on our Quickbooks program.
  • Financial Planning:
    Collaborate with the Executive Artistic Director and Board President to develop yearly budget projections and prepare and send to the Board after careful review and Executive Artistic Director approval. Regularly review and update the budget as necessary to achieve long-term financial goals.
  • Financial Reporting:
    Prepare and present regular financial reports to the Executive Artistic Director and to the Board as needed.
  • Performance Garage Relationship:
    Establish a close working relationship with the PG Team, especially the Interim Managing Director/Development Director, the Rental Manager, and Production Manager. Schedule and conduct weekly one-on-one meetings to discuss financial matters, review progress, and address any concerns.
  • Work with auditors to complete our annual audit
  • Confidentiality:
    Maintain the utmost level of confidentiality and trust in all financial matters.
Key Actions
  • Deposit checks weekly
  • Monitor Invoices for Accounts Receivable Collections
  • Manage and process Accounts Payable
  • Process bi-weekly payroll and employee benefit allocations
  • Arrange petty cash needs for staff & artists
  • Perform monthly bank reconciliations
  • Work with staff on identifying and resolving reconciliation discrepancies
  • Coordinate with fundraising team regarding A/R and A/P for fundraising events
  • Assist Managing Director with preparing budget reports
  • Prepare financial reports for grants and other ad hoc reports as needed
  • Prepare tax and year end 1099s
  • Assist with year-end tax & audit preparations
Qualifications
  • Bachelor's degree in finance, accounting, or a related field.
  • Certified Public Accountant (CPA) or Certified Financial Planner (CFP) designation is a plus. Proven experience in non-profit financial management.
  • Proficiency in Excel and Quickbooks for budgeting, investment tracking, and reporting.
  • Excellent interpersonal, problem solving and communication skills.
  • Exceptional attention to detail and organizational skills.
  • Ability to work independently and meet deadlines.
  • High ethical standards and ability to handle sensitive financial information.
Salary Range
  • This is a part-time position that requires ten to fifteen hours a week over two days preferably. Tuesday is a required day to work with the PG team of six staff members, otherwise somewhat flexible on additional hours.
  • Hourly range is between $33 to $37 dollars an hour.
  • Benefits are free tickets to any desired Performance Garage concerts.
  • Team has the week off between Christmas and New Year’s.
