Job Title:
Administrative Assistant-Temporary Summer Project Role – Document Management & Teams Migration
Location:
Erie, PA (Onsite)
Duration: 3 Months Contract
Pay Range: $25 per hour on W2
Key Project Responsibilities
Under the direction of Artech's Client's Foundry Director and with input from functional leaders, the summer project associate will:
• Inventory & Assess Existing Content
o Review folder structures and files across the F:/ drive
o Categorize content by function (Quality, Safety, Production, Sales, Finance, Scheduling, Policies, etc.)
o Identify obsolete, duplicate, or unclear documents for management review
• Design a Logical Teams / SharePoint Structure
o Help define standardized folder structures aligned to Artech's Client’s operating model
o Apply consistent naming conventions for folders and files
o Ensure alignment with QMS, safety, and document-control expectations
• Execute Document Migration
o Migrate approved documents into appropriate Client Teams and SharePoint locations
o Preserve current working versions while flagging documents needing revision or ownership clarification
o Validate accessibility and permissions with department owners
• Support Governance & Sustainability
o Assist in drafting simple, practical guidance for document storage and usage
o Help clarify functional ownership for key document areas
o Support a structure that prevents re-creation of unstructured shared-drive storage
• Coordinate Across the Foundry Organization
o Meet periodically with department managers to confirm accuracy and usability
o Track progress, issues, and decisions using a simple status log
o Elevate questions and provide recommendations to the Foundry Director as needed
Deliverables (End-of-Project Outcomes)
By the conclusion of the summer project, deliverables will include:
• A well-organized Client Teams / SharePoint environment aligned to foundry operations
• Migrated files from the F:/ drive placed in clearly defined, functional locations
• A documented folder structure and file-naming standard
• A high-level content inventory identifying:
o Active and controlled documents
o Obsolete or duplicate files
o Items requiring future revision or ownership assignment
• A concise user guidance document explaining where documents live and how Teams should be used at the Artech Client's site.
Must Have:
• Strong organizational skills and attention to detail
• Comfort working with large sets of files and structured data
• Familiarity with Client Teams, SharePoint, One Drive, Excel, and general PC tools
• Ability to follow all safety requirements and wear PPE when in the foundry environment
The ideal candidate:
• Enjoys creating structure and order from complex information
• Is detail-oriented and methodical
• Communicates professionally with supervisors, managers, and plant personnel
• Has an interest in manufacturing operations, quality systems, or industrial environments
• Can work independently while incorporating feedback and direction
• Thinks practically about how information should be organized, maintained, and used
Preferred (not required):
• Exposure to ISO, QMS, or document control concepts
• Prior experience with Teams or SharePoint site organization
• Familiarity with manufacturing or industrial workplaces
• Currently pursuing a bachelor's degree in:
o Operations Management
o Industrial or Manufacturing Engineering
o Business Administration
o Information Systems
o Quality, Safety, or related technical discipline
