The Assistant to the National Information Technology Officer provides high-level administrative, operational, and financial coordination support to the NITO and IT leadership team. This role serves as a central point of organization for executive scheduling, departmental communications, procurement workflows, vendor coordination, and project tracking.

Essential Functions
  • Provide senior-level administrative and operational support to the NITO, exercising independent judgment in managing executive priorities, calendar strategy, meeting cadence, and travel planning.
  • Serve as a primary liaison between the NITO, IT leadership, internal departments, vendors, and external partners, facilitating communication, issue resolution, and follow-through on strategic initiatives.
  • Prepare and coordinate executive meeting materials, agendas, and briefing documents; attend meetings to document key decisions, action items, and ensure accountability for follow-up.
  • Support development of executive reports, presentations, and leadership communications for internal and board-level audiences.
  • Assist in the full lifecycle of IT procurement activities, including requisitions, purchase approvals, vendor engagement, invoicing, and payment tracking.
  • Assist the NITO coordinating departmental financial and budget activities, including preparation, monitoring, reconciliation, and reporting.
  • Provide administrative and coordination support for IT strategic initiatives and projects, including scheduling, documentation, communication planning, and progress tracking.
  • Coordinate contract execution and documentation in partnership with RMO.
  • Oversee intake and triage of departmental communications, ensuring appropriate prioritization and routing.
  • Support department-wide meeting planning, interview coordination, and cross-functional communication efforts.
  • Leverage Microsoft 365 and AI-enabled tools (e.g., Copilot, ChatGPT) to enhance executive efficiency, reporting, documentation, and workflow optimization.
  • Maintain organized, confidential records and information systems in support of executive, financial, and operational functions.
  • Comply with mandates of management and perform other duties as assigned in support of the NITO and IT leadership.
Essential Skills and Experience
  • High level of proficiency in MS Office applications (Outlook, Word, Excel, and SharePoint)
  • Strong written and oral communication skills
  • Ability to prioritize, multi-task, and meet deadlines
  • Required:

    Minimum 1 year of administrative support experience
  • Required:

    High school diploma or equivalent
  • Preferred:
    General IT knowledge and administrative experience
