Essential Functions:

The Project Coordinator is an office position and supports the GM, Project Team, and Estimator from the main office with administrative and document control duties.

Responsibilities:
  • Develop and update completed project database and contacts
  • Assist estimator to obtain subcontractor and supplier quotes
  • Attend pre‑bid meetings as necessary
  • Attend Bid submittal (Bid Day Runner)
  • Update project pursuit list weekly
  • Monthly spot check of PROCORE use by field teams on projects
  • Develop and update list of subcontractors and suppliers to solicit pricing
  • Develop a pricing list of frequently used rental equipment
  • Distribute plans and specifications to project team, subcontractor and suppliers
  • Assemble jobsite postings, safety plan and contact list for each project
  • Upload project documents and contacts to company project management program
  • Track contracts, bonds and insurance requests through execution
  • Complete and submit new project number request
  • Submit union work order requests
  • Assist with safety
  • Contact suppliers and subcontractors to request submittals or additional information
  • Research and contact specialty subcontractors/suppliers as needed
  • Front office phones as back-up for receptionist and lunch cover as needed
  • Other duties and responsibilities as requested
Skills &

Qualifications:
  • High school diploma required, college degree preferred
  • Minimum of 2 years’ experience in document control
  • 5 or more years’ experience in office administration
  • Proficiency in Microsoft Office suite (Outlook, Word, Excel, PowerPoint, etc.) and the use of the internet
  • Valid Notary Public commission required or ability to obtain within 60 days
  • Knowledge of Procore highly preferred
  • Working knowledge of purchasing, subcontracting, submittals and construction preferred
  • Good communication and mathematical skills
  • Excellent customer service and interpersonal skills
  • Strong attention to detail
  • Ability to work independently and as part of a team
Working Conditions:

100% of the time is spent in the office with occasional trips to a project site, utilizing computers (frequent use of MS Office tools: Word, Excel, PowerPoint, Access), telephones, and general office equipment.
