Job Summary
Greets and directs visitors, students, parents, and staff and provides clerical assistance as needed. Acts as the first point of contact for all members of the school community, ensuring a professional and welcoming environment.
Essential Duties and Responsibilities- Operate a centralized telephone switchboard, directing calls to appropriate personnel, departments, and offices; receive and transmit messages.
- Provide general information to callers concerning school district events, facilities, and school boundaries.
- Give English/Spanish translation for documents and correspondence for various departments.
- Perform clerical tasks such as typing, copying, collating, and filing assigned by the Assistant Superintendent Human Resources.
- Assist District administrators by performing routine clerical tasks.
- Collect data and prepare planning calendars, schedules, and bulletins.
- Clip news articles and items from publications that pertain to education at the state, federal, or local level.
- Maintain schedules for District Service Center facilities, including the Board Room and Conference Rooms.
- Receive, sort, and distribute U.S. and inter-district mail; handle certified and express mail.
- Serve as the "key operator" for the copy machine.

Education and/or ExperienceHigh school diploma or GED; additional courses in office procedures or two years of clerical experience; at least six months in an educational setting.
Certificates, Licenses, RegistrationsValid California Driver's License.
Knowledge• Operation of a centralized telephone switchboard; telephone techniques and etiquette; interpersonal skills including tact, courtesy, and diplomacy; modern office practices, procedures, and equipment.
• Computer applications, including Microsoft Word, Excel, Group Wise.
• Correct English and Spanish usage, grammar, punctuation, spelling, and vocabulary.
• General postal procedures and regulations.
• Perform receptionist duties; provide information clearly and understandably.
• Receive the public tactfully and courteously.
• Understand and follow oral and written directions.
• Establish and maintain cooperative and effective working relationships with others.
• Communicate effectively both orally and in writing in Spanish and English.
• Operate computers and learn new programs.
• Apply commonsense to carry out instructions in written, oral, or diagram form.
• Solve problems involving several concrete variables in standardized situations.
• Handle U.S., inter‑District, and jet mail; type at a corrected speed of 45 wpm.
• Maintain routine records and logs; perform general clerical duties including typing, filing, and duplicating; perform simple and repetitive tasks.
Regularly sit; use hands to finger, handle, or feel objects, tools, or controls; talk or hear. Occasionally stand, walk, reach with hands and arms, stoop, kneel, crouch, or crawl. Must regularly lift and/or move up to 10 pounds and occasionally up to 25 pounds. Requires close, distance, peripheral vision and ability to adjust focus.
Work EnvironmentNoise level is usually moderate. Other environmental characteristics are within normal expectations for a school office setting.
