General Job Function: To provide comprehensive administrative, clerical, and office management support for Espanola Valley High School while serving as the primary point of contact for students, parents, staff, and visitors. The Office Manager/Secretary ensures efficient front office operations, maintains confidentiality, and supports school administration in daily operations and district reporting requirements.
Education/Training/Experience- High School graduate or equivalent
- Previous experience in a school or office administrative setting preferred
- Must have knowledge and demonstrate skills in office equipment and computer programs

Standard office equipment, computer systems, school and district software, copiers, telephones, and a vehicle for district-related travel when necessary.
Physical/Cognitive RequirementsRegularly required to walk, talk, and listen. Frequently required to stand and sit. Required to use hands to finger, handle, or feel objects, tools, or controls; reach with hands and arms; and occasionally stoop, kneel, crouch, or lift. Specific vision abilities include close vision, distance vision, and depth perception. Light lifting is required at times.
Environmental ConditionsThe noise level in the work environment is usually moderate. The position operates in a fast-paced school office setting with frequent interruptions and daily interaction with students, staff, parents, and visitors.
Essential Duties and Responsibilities- Assist students, parents, staff, and visitors while maintaining a professional and welcoming office environment.
- Maintain strict confidentiality of all student, personnel, and school records.
- Maintain official school records and carry out administrative procedures as directed by school administrators.
- Schedule and coordinate conferences, appointments, meetings, and interviews, and maintain conference room calendars.
- Prepare, process, and submit required school documentation to the District Office, including timesheets, certifications, EPARs, extra-duty forms, and new hire recommendation packets.
- Prepare and submit weekly EVHS Certification reports.
- Distribute and mail live payroll checks as needed.
- Contact and schedule substitute staff.
- Oversee office staff and assist with implementing office procedures, ensuring coverage of all office positions.
- Provide clerical, receptionist, and front office support, including answering phones, greeting visitors, filing, photocopying, and front office/lunch coverage per rotation schedules.
- Screen and greet visitors for the Principal.
- Enter work order requests into School Dude.
- Issue off-campus passes to students upon parent request.
- Assist with student attendance entry, yearly registration, and Chromebook assignment and inventory.
- Create and maintain custodian duty schedules for assigned areas.
- Assist with school events, including Open House, Parent/Teacher Conferences, award ceremonies, graduation, prom, and other activities.
- Transport confidential materials between locations when necessary.
- Perform filing, copying, and other clerical duties as required.
- Perform duties of other office staff and other tasks as assigned by the Principal or Assistant Principal(s).
- Demonstrates reliability as evidenced by attendance records and punctuality.
- Properly notifies supervisor and/or designee of absences or tardiness.
- Begins and completes work within the allotted time.
- Consistently appears in attire appropriate to the work environment.
- Demonstrates skill in the use of equipment, including its capabilities, limitations, and appropriate application.
- Protects the District’s resources through appropriate and careful use of supplies and equipment.
- Utilizes appropriate body mechanics to aid in the prevention of muscle strain or injury.
Upon an offer of employment, you must pass a pre-employment drug test, comply with the Immigration Reform and Control Act of 1968, pass a background check, and provide necessary documentation of qualifications.
