General Job FunctionTo facilitate effective and efficient management of the Human Resource Office in support of the duties and responsibilities of the Manager/Director.
Education/Training/Experience- High School graduate
- Minimum of 3 years experience in Human Resources
- Knowledge and skills in office equipment and computer programs
- Proficient in Microsoft Word, Excel, Access, PowerPoint, and Outlook.
Skills and Abilities
- Acquired competencies relating to effective office practices and procedures
- File Maintenance and Records Administration
Standard office equipment and vehicle for district travel; a district car may be used or mileage reimbursement available if employee uses own vehicle.
Physical/Cognitive RequirementsRegularly required to walk, talk and listen. Frequently required to stand and sit. Use hands to handle objects; reach with hands and arms; stoop, kneel, crouch, or crawl. Specific vision abilities required: close vision, distance vision, depth perception. Light lifting at times.
Environmental ConditionsThe noise level in the work environment is usually moderate.
Essential Job Functions- Maintenance of all personnel records for certified and non-certified employees and adherence to strict confidentiality requirements.
- Assist the HR Manager/Director in compiling and posting all vacancy announcements.
- Compile personnel action forms (PAFs), contracts and START ORDERS.
- Collect and organize data for reports and annual budget; assist HR Manager/Director in completing required personnel reports.
- Advise employees on licensure/certification procedures and Highly Qualified status.
- Assess training and experience of applicants for certified positions and determine eligibility according to New Mexico State requirements.
- Assist HR Manager/Director in initiating and overseeing evaluations for district employees.
- Process new employees including background checks, fingerprinting, drug testing, all new hire paperwork, letters of intent, contracts, personnel file, badges.
- Handle routine correspondence with applicants and employees and respond to requests for information.
- Assist HR Manager/Director with all requests.
- Write letters.
- Collect information sent to all staff.
- Retrieve all documentation from all staff.
- File all documents into the Personnel Files when retrieval is complete.
- Maintain Synergy/Visions/Access/Timeclock/Online application systems.
- Maintain day-to-day routine functioning of the Human Resource Office.
- Ensure absolute confidentiality and security of District personnel files, enforcing limitations and structured utilization of such files, by persons whose access is authorized only by the Superintendent and/or Director.
- File documents in a timely manner.
- Online Applicants.
- Print application and corresponding documents.
- Respond with email of missing information.
- Check Licensure and print for file.
- Make copies as per requests.
- Handle unemployment claims.
- Other duties as assigned.
- Demonstrates reliability as evidenced by attendance records and punctuality.
- Properly notifies supervisor and/or designee of absences or tardiness.
- Begins and completes work within allotted time.
- Consistently appears in attire appropriate to the work environment.
- Demonstrates skill in the use of equipment, including its capabilities, limitations, and appropriate/special application.
- Protects the District’s resources through appropriate and careful use of supplies and equipment.
- Utilizes appropriate body mechanics to aid in the prevention of muscle strain/injury.
Upon an offer of employment, pass a pre-employment drug test and comply with the Immigration Reform and Control Act of 1968, pass a background check and provide necessary documentation qualifying for employment.
