Position: Executive Assistant / Operations Administrator
Overview

We are currently partnering with a well-established construction and building services organization in Etobicoke that has built a strong reputation for delivering quality projects and exceptional customer service across the GTA. They are seeking a highly organized and proactive Executive Assistant / Operations Administrator to provide direct support to senior leadership and assist with the day-to-day coordination of business operations.

This role is ideal for someone who enjoys managing multiple priorities, ensuring follow-through on key initiatives, and serving as a trusted partner to leadership. Responsibilities

Act as a key support partner to senior leadership, ensuring priorities, deadlines, and action items are tracked and completed

Manage complex calendars, meetings, and scheduling across multiple stakeholders

Coordinate administrative and operational activities to support day-to-day business functions

Prepare reports, correspondence, presentations, and other business documentation

Maintain organized records, files, and company documentation

Assist with project coordination and follow-up to ensure timely completion of tasks

Support communication between departments and external partners

Handle confidential information with professionalism and discretion

Monitor and manage administrative processes to ensure efficiency and accuracy

Support reporting, documentation, and various operational initiatives as required

Assist with special projects and additional assignments as needed

Qualifications

3+ years of experience in an Executive Assistant, Administrative Assistant, Operations Administrator, Office Manager, or similar role

Strong proficiency with Microsoft Office, including Outlook, Word, and Excel

Experience supporting multiple stakeholders and managing competing priorities

Exceptional organizational skills and attention to detail

Strong communication and interpersonal skills

Ability to work independently, take initiative, and adapt to changing priorities

Experience with Quick Books or basic bookkeeping is considered an asset

Experience coordinating projects, tasks, or operations within a construction, trades, engineering, manufacturing, or project‑based environment is considered a strong asset

Professional, resourceful, and able to maintain confidentiality
