States Industries is looking for a Bilingual Administrative Coordinator – HR & Accounting to serve as the first point of contact for employees, applicants, visitors, and vendors while providing critical support to our Human Resources and Accounting teams.

What You’ll DoFront Desk & Office Support Greet employees, visitors, and vendors in both English and Spanish Answer and direct incoming calls
Maintain a professional and welcoming reception area Process mail, packages, and deliveries
Manage building access cards and office supplies
Assist with translation of documents and conversations as needed
Human Resources Support Serve as an initial point of contact for employee questions
Assist with onboarding and new hire paperwork
Maintain electronic employee files
Prepare safety-related documents and vouchers
Support employee relations initiatives and special projects
Accounting Support Provide backup support for accounts payable
Sort, scan, and file invoices and financial documents
Review expense reports for completeness
Run recurring reports and assist with administrative accounting tasks
Executive Support Provide administrative assistance to members of the leadership team Handle confidential information with discretion
Support special projects and ad hoc requests
What We’re Looking For Fluent in both English and Spanish (written and spoken)
Strong customer service and communication skills
Excellent organizational skills and attention to detail
Ability to handle confidential information professionally
Proficiency with Microsoft Office (Word, Excel, Outlook)
Ability to prioritize and manage multiple tasks independently
Preferred Qualifications Two or more years of experience in administrative support, HR, accounting, or a related field
Experience with HRIS systems such as Paycom
Experience with multi-line phone systems
