Coordinator of Business and Events

Department: Physical Education and Recreation

Appointment Type and Duration: Regular, Ongoing

Salary: $50,000 - $60,000 per year

Position Summary

The Coordinator of Business and Events is an administrative and supervisory role that manages key business operations of the Physical Education and Recreation Department. The position reports to the Assistant Director for Business and Events, oversees facilities rentals and event coordination, handles contracts and procurement, and supervises approximately 30 student event staff members.

Responsibilities
  • Oversee facilities rentals and event coordination from initial client requests through post‑event follow‑up, ensuring clear communication and a high‑quality client experience.
  • Compile event and rental invoices and manage departmental printing, copying, supply orders, and maintenance coordination.
  • Maintain departmental records to ensure compliance with university policies and retention schedules.
  • Recruit, hire, schedule, train, and evaluate approximately 30 student event staff members, maintaining training records and attendance reports.
  • Act as steward of departmental resources and primary liaison to Student Life Financial Services for contract and purchasing management, procurement card control, vendor management, and resolution of procurement discrepancies.
  • Serve as custodian of departmental capital assets and inventory, maintaining accurate records of physical asset locations, coordinating property control transactions, and ensuring compliance with university asset management standards.
  • Provide backup support to the Assistant Director of Business Operations and Events during absences and perform other duties as assigned.
Minimum Requirements
  • Bachelor's degree and at least one year of experience in business operations, administrative support, events/rentals management, or a related field.
  • Four years of experience in business operations, administrative support, events/rentals management, or a related field.
  • An equivalent combination of education and experience.
Professional Competencies
  • Ability to work with diverse populations and maintain professional relationships with staff, students, vendors, and clients.
  • Ability to manage multiple projects and tasks simultaneously while maintaining attention to detail and accuracy.
  • Strong communication skills.
  • Proficiency in records management, document organization, and compliance with retention standards.
  • Demonstrated ability to work collaboratively in a team environment.
  • Strong customer service orientation and ability to manage client expectations.
Preferred Qualifications
  • Master's degree in Business Administration, Management, or a related field.
  • At least one year of supervision experience, including hiring, training, and evaluating staff, and managing employee schedules and timesheets.
  • Experience with UO software platforms Banner, Concur, and UKG.
  • Knowledge of university procurement policies and procedures.
  • Experience with property control, asset tracking, or inventory management.
  • Experience managing procurement card or similar payment systems.
