- Answer phones and greet clients in a friendly, positive, and warm manner
- Be the first point of contact for prospects and clients
- Schedule appointments with clients and assist with calendar management
- Provide comprehensive administrative support to the owner, ensuring effective organization and proactively managing schedules, priorities, and tasks to keep operations on track
- Assist in managing ongoing service requests, ensuring each client is kept informed with personalized follow‑up calls
- Handle document management including scanning, copying, secure uploads and emails
- Order supplies, manage inventory, process mail
- Conduct follow‑up outreach to re‑engage with prospects or leads who have become inactive
- Maintain the firm’s CRM (Redtail) through accurate data entry and database management
- Maintain office filing system, both paper and electronic
- Assist at seminars and client events
- Provide marketing support as needed including newsletters, social media, website, communications, events, etc.
- Associate’s degree
- 3+ years of administrative office experience in a fast‑paced environment
- Strong proficiency and confidence working across various platforms and operating systems including Microsoft Office Suite, SharePoint, Zoom or other virtual meeting platforms and CRMs
- Must be able to multitask effectively in a fast‑paced environment, managing competing priorities while maintaining high levels of accuracy and attention to detail
- Exceptional organizational skills by efficiently managing multiple client requests and prioritizing time‑sensitive tasks
- Thrives in a dynamic environment, adjusting seamlessly to changing business needs and responsibilities
- Excellent written and verbal communication
- Meticulous attention to detail and a commitment to accuracy
- Skilled in building strong, trust‑based relationships with clients by providing attentive, personalized service and guidance
- Self‑starter who takes initiative and works well independently
- Strong integrity and a commitment to ethical conduct, especially when handling confidential client information and financial matters
- Experience working in the financial industry, banking, or professional services environment preferred
- Experience supporting executives or serving as a personal/executive assistant
- Coordinating travel arrangements and meeting logistics
Pay & Perks:
- $52k - $60k/year based on experience
- PTO
- In office: flexible schedule
- Some evenings may be required for client events
