Job OverviewThe City of Eugene is seeking a proactive, detail‑oriented professional to join our Information Services Division as an IT Program Coordinator. The position links IT and Finance, coordinating daily financial and administrative tasks, developing processes for the IT Finance Team, and preparing reports that support the division’s financial success.
Responsibilities- Serve as a core member of the IT Finance Team that leads IT purchasing for the City.
- Develop and refine division‑level finance and human resource processes and workflows.
- Perform IT procurement and purchasing tasks, including contract management and purchasing for the division.
- Create financial reports to evaluate trends, support billing, and perform basic data analysis.
- Coordinate timekeeping for the division.
- Coordinate division human resources processes including recruitments and onboarding.
- Prepare a variety of division‑wide communications such as monthly newsletters and emails.
- Represent the division on City‑wide committees.
- Work with vendors and partners to support division goals.
- Plan, prepare, and present IT finance and human resource information to division leadership.
- Provide administrative support, maintain data, verify and update information, and design standard and customized reports.
- Support the Telecom Program with purchasing and administrative work.
- Support ISD Leadership by taking meeting notes and managing meeting technology.
- Perform various office tasks and related duties as assigned.
- Four years of progressively responsible clerical or administrative support experience, including two years managing contracts, records, and/or financial data.
- High school diploma or G.E.D. equivalent; associate degree or college coursework in the relevant area is desirable.
- Must pass a criminal background check.
- Effective customer service practices and vendor management skills.
- Business English, grammar, spelling, and punctuation; strong editing and proofreading skills.
- Effective telephone practices and protocols.
- Basic math and data analysis skills.
- Basic public purchasing and contracting laws and regulations.
- Learn and implement the City’s Finance systems and practices, including public purchasing regulations and financial record‑keeping processes.
- Administer contracts and other agreements, working within strict project deadlines.
- Gather and evaluate data to develop effective financial tracking reports.
- Make independent decisions consistent with policies and procedures.
- Evaluate and solve problems, addressing complaints with tact and courtesy.
- Train coworkers in processes and procedures as needed.
- Write clear and concise reports and correspondence; communicate effectively orally and in writing.
- Work independently and as part of a team, prioritizing tasks and handling confidential information with discretion.
- Perform general administrative support duties.
- Learn basic IT principles and apply them to vendor management and IT Finance tasks.
- Provide courteous customer service.
- Use software and IT tools, including Microsoft Word, Excel, PowerPoint.
- Perform essential physical activities such as speaking, hearing, and lifting up to 20 pounds.
Work is performed in an office environment, involving sitting, keyboard use, writing, speaking, and hearing for extended periods. Activities include bending, stooping, and kneeling, and lifting up to 20 pounds.
