Schnitzer School of Global Studies Administrative and Executive Support Specialist Position Summary
The Administrative and Executive Support Specialist ensures the smooth operation of the Schnitzer School of Global Studies and Languages by providing comprehensive administrative, executive, and event management support. This position collaborates closely with the Schnitzer School leadership team—including the Associate Director, Operations Manager, and Intercultural Experiences Coordinator—as well as the Executive Director and Center for Global Futures Senior Director. Key responsibilities include coordinating data collection and reporting, managing school awards and website updates, maintaining school listservs, calendar management, meeting coordination, committee support, travel arrangements for senior leadership, event planning and execution of school-sponsored programs and conferences, managing itineraries for visitors, and partnering with CAS Travel for logistical arrangements.
The specialist also supervises student employees, approves timesheets and leave reports, supports the student worker lifecycle, and assists with public outreach initiatives such as social media, publicity, and representation at university events.
- Three (3) years of clerical/secretarial experience.
- One (1) year at full performance level performing typing, word processing, or document generation.
- Lead work responsibility or coordination of office procedures.
- Courses or training in Office Occupations or Office Technology may substitute for up to one year of the clerical experience; no substitution is allowed for the full performance year.
- Excellent organizational and time‑management skills with attention to detail.
- Effective communication skills.
- Ability to work effectively with individuals from diverse backgrounds, supporting an inclusive and welcoming environment.
- Ability to work independently and as part of a team, providing support when needed.
- Proficiency with Microsoft Office 365 software and the ability to learn new software.
- Ability to apply and implement policies, procedures, rules, and regulations; problem‑solving skills; and the ability to exercise sound judgment.
- Experience in a college or university setting.
- Experience working in Banner Information System or Cognos.
- Experience with communications and/or social media.
- Experience planning and/or conducting special events.
