Job Summary

The Medical Services Coordinator is responsible for serving as a point of contact to coordinate medical care, providing support to patients and psychiatric clinicians, and ensuring quality customer service to both in‑person and remote patients and clinicians.

Compensation & Hours

Starting at $22.75 per hour, with quarterly bonus/incentive potential.

Hours:

Monday – Friday, 8:00am – 5:00pm.

Location:

66 Club Road Suite 210, Eugene, OR 97401.

Responsibilities
  • Operational Excellence – Create a positive work environment; support in‑office clinician and staff engagement activities to promote the Life Stance culture, engagement, and connection. Provide strong customer service, respond quickly and appropriately to patient needs, and manage potentially difficult or emotional situations. Communicate with peers, clinicians, and patients in ways that support patient care and clinician satisfaction.
  • Patient Support – Assist psychiatric clinicians with prior authorizations, lab orders, letters for patients, records requests, and coordination of needed patient forms/paperwork (e.g., FLMA). Facilitate communication between the patient, medical staff, and the patient’s pharmacy. Manage phone systems: answer incoming calls to the medical services line and provide patient support with medication‑related questions, refill requests, release requests, appointment reschedules, and miscellaneous inquiries.

    Scan hard‑copy correspondence into the patient’s EHR. Assist patients with telehealth access, Patient Portal issues, and other troubleshooting. Immediately handle urgent requests; triage patient issues and resolve them or direct to the correct departments for escalation. Assist in coordination of external referrals for patient care.
  • Clinician Support – Provide general clinician support: assist clinicians with administrative questions and duties such as sending letters, faxes, etc. Coordinate with clinicians regarding additional patient questions. Aid psychiatric clinicians in termination processes for patients as needed (terminations letters, external referrals, AMD status, etc.).
  • Professionalism & Decision‑Making – Behave ethically, understand ethical behavior and business practices, and ensure own behavior and that of others align with company values. Build and maintain positive relationships internally and externally. Work cooperatively to set goals, resolve problems, and make decisions that enhance effectiveness. Act with a growth mindset, assess problem situations, generate workable solutions, and make recommendations. Be flexible and adaptable to changing responsibilities.

    Organize and pay attention to detail; set priorities, develop schedules, monitor progress, and track data. Resolve conflicts cooperatively without impacting patient care.

Skills & Qualifications
  • Multitask and prioritize duties for high‑quality patient experience.
  • Work independently and as part of a team.
  • Strong written and verbal communication skills.
  • Proficient in Microsoft Office and EMRs.
  • Comfortable handling sensitive and confidential information (HIPAA).
Education & Experience

High School or equivalent required; associate’s or bachelor’s degree preferred.

1+ year of experience in healthcare operations, customer service, or a similar role.

Physical Requirements

Required to sit, stand, bend, talk, and hear regularly. Frequently required to walk. Must be able to lift or move objects up to 25 pounds. Vision requirements include close, distance, color, peripheral, and depth perception, and ability to adjust focus.
