The Municipal Court Clerk is under general supervision and performs administrative assistance and clerical duties required within the operational requirements of the Municipal Court.
Municipal Court Clerk IThe Municipal Court Clerk I is under immediate supervision; this is the entry-level class in the Municipal Court Clerk series. Employees are not required to have directly related work experience. Work is observed and reviewed both during performance and upon completion. Once trained in specific tasks, employees are expected to work with limited supervision.
Municipal Court Clerk IIThe Municipal Court Clerk II is under immediate supervision; this is the intermediate-level class in the Court Clerk series. Employees assigned to this class are expected to perform the full range of duties assigned and to work with considerable independence and initiative. Employees receive minimal instruction or assistance. Employees at this level may oversee and direct moderate to complex projects. May lead, train, and monitor less experienced court clerks.
EssentialDuties, Knowledge, Skills, and Abilities
Municipal Court Clerk I:
Employee possesses the knowledge, skills, and abilities to perform all the essential duties of the job safely and satisfactorily, including, but not limited to municipal governance, teamwork, problem-solving, relationship-building, customer service, detail oriented, technology/equipment proficiency, policy adherence, time management, result-orientation, research and analyzing data, decision-making, self-motivation, stewardship, integrity, and upholding our EDGE core values. Ability to listen to, read, understand, and communicate the English language both orally and in writing so others can understand, such as correspondence, report writing, and emails.
To support consistent high-quality service for our community and each other, it is the expectation of all employees to be punctual and have good attendance and to communicate effectively for scheduling conflicts or when taking leave according to city policy.
Assists customers in person, by phone, and by email in receiving documents, answering questions and providing information concerning the municipal court. Assists with court docket preparation: schedules trial, pre-trial and arraignment dates. Assists during court hearings by preparing necessary documents for the Municipal Judge, Prosecutor, defendants, and victims and by monitoring court recordings and courtroom traffic. Records dispositions of cases and disseminates information to necessary parties in each case.
Places accounts with collections companies as ordered, responds to collections inquiries, and maintains statistical data regarding collection results. Maintains court records both in electronic format through court software and in paper format. Processes and records all court payments, including but not limited to fine payments, restitution payments, and bond payments. Updates court payments and receipts in court software daily. Imports and exports citation information daily from electronic ticketing system.
Audits citation imports on a daily basis to ensure record accuracy. Cross-trains to serve as back-up for Municipal Court Clerk II and Customer Service Unit, as needed. Ability to research and track financial transactions and information. Ability to maintain confidentiality and professionalism.
