The Municipal Court Clerk works under general supervision to perform administrative assistance and clerical duties required within the operational requirements of the Municipal Court. The Clerk I is an entry‑level class; the Clerk II is an intermediate‑level class requiring greater independence and the ability to oversee moderate to complex projects.
ESSENTIAL DUTIES, KNOWLEDGE, SKILLS, AND ABILITIESMunicipal Court Clerk I:
- Employee possesses the knowledge, skills, and abilities to perform all essential duties of the job safely and satisfactorily, including municipal governance, teamwork, problem‑solving, relationship‑building, customer service, detail oriented, technology/equipment proficiency, policy adherence, time management, result‑orientation, research and analyzing data, decision‑making, self‑motivation, stewardship, integrity, and upholding EDGE core values.
- Ability to listen, read, understand, and communicate the English language both orally and in writing.
- Support consistent high‑quality service by being punctual, having good attendance, and communicating effectively for scheduling conflicts or when taking leave according to city policy.
- Assist customers in person, by phone, and by email in receiving documents, answering questions, and providing information concerning the municipal court.
- Assist with court docket preparation: schedule trial, pre‑trial, and arraignment dates.
- Assist during court hearings by preparing necessary documents for the Municipal Judge, Prosecutor, defendants, and victims and by monitoring court recordings and courtroom traffic; record dispositions of cases and disseminate information to necessary parties.
- Place accounts with collections companies as ordered; respond to collections inquiries; maintain statistical data regarding collection results.
- Maintain court records both in electronic format through court software and in paper format.
- Process and record all court payments, including fine payments, restitution payments, and bond payments; update court payments and receipts in court software daily.
- Import and export citation information daily from electronic ticketing system; audit citation imports daily to ensure record accuracy.
- Cross‑train to serve as back‑up for Municipal Court Clerk II and Customer Service Unit, as needed.
- Research and track financial transactions and information; maintain confidentiality and professionalism; assist in additional duties as assigned.
Court Clerk II: In addition to previous essential functions:
- Prepares and processes new or received motions, waivers, plea forms, complaint forms, and bonds.
- Prepares convictions report and records weekly with the Colorado Department of Motor Vehicles.
- Processes record sealings and expungements in a timely and efficient manner according to state governance.
- Prepares subpoenas and notifies prospective jurors, defendants & witnesses of upcoming trial dates.
- Assists in the coordination of annual record audits.
- Assist in routine updates to the court policy and procedures manuals.
- Issues and recalls bench warrants as directed.
- Interacts with other agencies regarding municipal court cases.
- Cross‑train to serve as back‑up for Municipal Court Administrator and Customer Service Unit, as needed.
Court Clerk I:
- High School diploma or equivalent; equivalent combinations of education and experience may be considered.
- Four (4) years of customer service or administrative support experience.
- Valid Colorado Driver’s License or ability to obtain within six months of hire.
- Notary Public for the State of Colorado or ability to obtain within one (1) year of hire.
- Colorado Association for Municipal Court Administration membership or ability to obtain within one (1) year of hire.
- Must be able to obtain CBI clearance for CCIC/NCIC.
